Our client is a global asset management firm. They seek an Executive Assistant/Administrative Assistant to join their Manhattan, NY office.
Responsibilities
- Manage executive phone coverage and serve as the primary gatekeeper, ensuring efficient communication flow and prioritization of requests
- Oversee complex global calendar management, coordinating internal and external meetings, resolving conflicts, and optimizing executives’ time
- Ensure seamless daily scheduling by tracking meetings, providing timely reminders, and facilitating transitions between calls and locations
- Coordinate with internal teams and external stakeholders to confirm meetings, organize logistics, and prepare agendas, materials, and presentations
- Prepare and process corporate documentation, including internal reports, client materials, and signature requests requiring CFO approval
- Track all signature requests, invoices, and expense reports, maintaining accurate records and ensuring deadlines are met
- Arrange domestic and international travel itineraries, including flights, accommodations, and transportation
- Facilitate office operations by organizing in-office meetings, team events, and client lunches, and by welcoming visitors
- Handle sensitive and confidential information with discretion while representing the CFO and firm with professionalism
- Support ad hoc projects and act as a trusted liaison across departments to ensure priorities and communications remain aligned
Requirements
- Bachelor's degree preferred
- 5-10 years of ER/AA experience
- Professional services industry required
- Excellent communication skills
- Detail-oriented and highly organized
