Job Summary
Performs a variety of more complex administrative tasks for a department or group.
Essential Functions

  • Coordinate and administer general administrative for the Operations Team
  • Consolidate and publish Operations Metrics
  • Coordinate and distribute daily and weekly Operations reports
  • Coordinate Technical Reviews with assistance from Operations Team
  • Assist with Agile functions as requested such as change orders and general documentation
  • Manage calendar scheduling, including meetings and conference calls
  • Prepare, proofread and edit basic correspondence, agreements, memos, presentations and spreadsheets
  • Maintain general files following standard procedures
  • Handles travel arrangements and expense reports
  • Post data to various records and forms, make and maintain charts, gather data from various sources and prepare reports
  • Assist with creating presentations, including handout materials for meeting participants
  • Handle sensitive and/or confidential material strictly in accordance with corporate policy and written/verbal instructions
  • Collect, record, and track purchase requisition data for department
  • Track purchase orders and hours spent for contractors
  • Prepare expense reports and monthly spending reports as required
  • Correlate purchase requisitions, purchase orders and invoice to provide data for cash flow analysis
  • Manage and maintain department office supplies inventory and general environment of office
  • Promote an effective, proactive working relationship with all levels of management throughout the company
  • Coordinate travel arrangements as requested, anticipating upcoming needs
  • Schedule meetings, conference rooms, and meals, as required
  • Comply with company policies and procedures regarding employee health, safety, and conduct


Required/Preferred Education and Experience

  • High School Diploma or equivalent is required. Associate and bachelor's degree preferred.
  • 2 years related experience is required.


Knowledge, Skills and Abilities

  • Strong verbal, written communication and interpersonal skills
  • Excellent initiative, organizational abilities, attention to detail and accuracy
  • Ability to work independently while interacting with and advising employees of all levels of the organization
  • Capable of performing bookkeeping in a simple accounting system
  • Highly organized, flexible and enjoys the challenges of supporting a team of diverse people and programs
  • Strong knowledge in Microsoft Office, especially Excel, PowerPoint, and Word
  • Proficient in creating PowerPoint presentations and Excel spreadsheets
  • Experience in ERP (Syteline/Oracle) systems and PLM (Agile) systems


Travel Requirements

  • 10% 0 – 10%


Physical Demands

  • Most job duties are performed while sitting, employees will occasionally be required to stand; walk; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. Employee must occasionally lift and/or move up to 10 pounds.
