With a commitment to quality service and customer satisfaction, Groovy Hues transforms spaces with their expertise in painting and power washing techniques.Administrative Coordinator Job Description: As an Administrative Coordinator at Groovy Hues, you will play a pivotal role in ensuring the smooth operation of our business by handling various administrative tasks. Your attention to detail, organizational skills, and customer service mindset will contribute to our continued success.Key Responsibilities of the Administrative Coordinator:
  1. Answer Requests: Respond promptly and courteously to inquiries and reviews on our pages, maintaining positive relationships with customers and addressing any concerns or questions.
  2. Schedule Management: Input bookings into our scheduling software, ensuring accuracy and efficiency in managing appointments for painting and power washing services. Maintain and update the schedule, coordinating with the painting and power washing teams to optimize workflow and meet customer demands.
  3. Accept Deliveries: Receive and process deliveries of paint, supplies, and other orders, ensuring inventory is accurately logged and stored appropriately.
  4. Answer Local Business Number: Serve as the primary point of contact for incoming calls to our local business number, providing excellent customer service and directing inquiries to the appropriate channels.
  5. Marketing Material Management: Monitor marketing material inventory and reorder as needed to ensure adequate supply for promotional activities and client outreach efforts. Assist with local marketing efforts.
  6. Organic Contact List Maintenance: Update and maintain our organic contact list, keeping it current and accurate to facilitate targeted marketing and communication efforts.
  7. Client Outreach: Conduct outbound calls and mailers to contacts on the organic contact list, fostering relationships with potential and existing clients to generate leads and promote our services. Coordinate home show events and work them.
  8. Price Maintenance: Keep paint pricing updated to reflect any changes or promotions, ensuring consistency and accuracy in pricing for our customers.
  9. Office and Kitchen Supplies: Monitor and replenish office and kitchen supplies as needed to support the daily operations of our team and maintain a comfortable working environment.
  10. Social Media and Review Management: Keep up and interact on social media and lead generation sites
Qualifications for the Administrative Coordinator:
  • GED or Equivalent
  • 3 Years of Office admin experience
  • Excellent communication skills, both verbal and written
  • Strong organizational abilities with a keen attention to detail
  • Proficiency in using scheduling software (experience with Service Titan a plus)
  • Customer-focused mindset with a commitment to delivering exceptional service
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment
  • Basic understanding of inventory management principles
  • Previous experience in administrative roles or customer service positions preferred
Perks & Compensation:
  • Pay range: $13-15/hr (based on experience)
  • Start date: No later than March 18th
  • Holidays: New year’s day, Memorial Day, 4th of July, Labor day, Thanksgiving, Christmas day

This position is integral to our operations.
