YWCA Kalamazoo is Hiring a Programs Coordinator Near Kalamazoo, MI

Position: Programs Coordinator

Department: Victim Services

Supervisor: Senior Director of Victim Services

Compensation Range: $20.00 , Support Staff Salary Scale

FLSA Status: Non-Exempt Full-Time

Hours of Work: Monday – Friday; Typical Business Hours. Occasional evening or weekend work.

PRIMARY FUNCTION:
To provide administrative assistance and coordination between departments, assist with client intake and communication; provide support to program staff to ensure quality service delivery and documentation of activities in accordance with state and federal grant contracts. Is able to demonstrate and adhere to the mission of the YWCA. Able to maintain strict confidentiality.


QUALIFICATIONS:

  • Associate’s degree in office administration, business, or related field preferred.
  • One-year administrative duties, including data entry, answering phones, providing direct administrative support to management level staff and face to face customer service required; three years or more experience preferred.
  • At least one-year experience in human services preferred.
  • Ability to organize systems, follow routines, produce concise and professional reports, and respond to change as needed.
  • Capable of making sound decisions and responding calmly in stressful situations. Operates within organizational structure, customs, practices, policies and procedures.
  • Proficiency in word-processing, Excel spreadsheets, Power Point presentations, and Publisher.
  • Excellent verbal and written communication skills. Able to ask clarifying questions. Proven customer service skills.
  • Able to work with people of diverse backgrounds.
  • Polite professional demeanor with high ethical standards.
  • Clerical skills, attention to detail and strong organizational skills required.
  • Ability to maintain strict confidentiality.
  • Satisfactory response to criminal and child abuse and neglect history checks.
  • Fluency in written and spoken Spanish strongly preferred.

RESPONSIBILITIES:

  • Provide administrative support to the Vice President of Victim Services.
  • Ensure clear communication of Victim Services Department training and coordination among VS Programs with external departments.
  • Assist with the reporting of program statistics to ensure the timely and accurate reporting in compliance with grant requirements and deadlines.
  • Assist with preparation of materials for grant audits and reporting.
  • Provide program quality assurance and support to Victim Services Programs at the direction of the Vice President of Victim Services.
  • Provide direct service to program participants as needed for fill-in of other staff.
  • Manage and maintain records.
  • Preform mock audits for VS Programs for future program audits (Quarterly/Semi-Annually).
  • Work with YWCA Evaluation Program to implement, collect, analyze, and evolve VS Dept.
  • Coordinate VS staff trainings/meetings.
  • Assist with office supply inventory and ordering as needed.
  • Acts as Purchase Request Coordinator of Programs.
  • Check and distribute client mail to assigned client programs.
  • Supervise Program Coordinator Interns as needed.
  • Safeguard confidential information gained as a result of the position.
  • Comply with YWCA policy regarding require reporting of child abuse.
  • Comply with applicable local, state and federal licensing requirements/certification and/or regulations.
  • As a YWCA employee, project a positive image to the community.
  • Work cooperatively with program participants, YWCA staff and volunteers.
  • Exhibit friendly, patient, and courteous behavior in interactions with clients, visitors, and staff.
  • Maintain a professional attitude and workspace.
  • Provide back-up coverage to Operational Support Coordinator.
  • Perform other duties as assigned.

  • While performing the duties of this job, the noise level in the work environment is usually quiet.
  • The employee must occasionally lift and /or move up to 15 pounds.


TRAINING REQUIREMENTS:

  • Orientation to YWCA Personnel Policies, Mission, Purpose and One Imperative.
  • Racial Justice Training
  • Orientation to Domestic Violence, Sexual Assault, Confidentiality, Mandatory Reporting.
  • Other appropriate training and in-service which will occur during employment.
  • Health and Safety/OSHA and Emergency Procedures Orientation.
