Yavapai County Human Resources is Hiring a Program Coordinator II - Board of Supervisors (Prescott) Near Prescott, AZ

Role

Under general supervision of the Clerk of the Board, performs professional and administrative work of moderate to considerable difficulty for the Board of Supervisor’s Office.

Major Duties, Responsibilities

  • Performs a variety of administrative tasks, including preparing reports, records, correspondence, and other documents; enters and retrieves data utilizing a computer data base program; drafts minutes.
  • Answers inquiries, provides information and resolves complaints from the public or employees, regarding assigned functions and activities, which often requires the use of judgement and the interpretation of policies, rules, and procedures.
  • Reviews, recommends, and implements new or improved policies and procedures; assists with ensuring department compliance with federal, state, and local laws.
  • Prepares and delivers presentations, training materials and courses, agenda items, and other related business activities.
  • Maintains office records/files and database files of a routine to difficult and/or confidential or a sensitive nature.
  • Manages projects as assigned, to include term and service tracking of board, commission and committee members and countywide public records requests..
  • Advises and consults with County departments and members of the Board regarding Board records, agendas, and minutes; provides training and technical assistance as needed.
  • Performs other job-related duties as assigned.

Minimum Qualifications

Experience:
A minimum of two (2) years of progressively responsible government records management and/or administrative experience.
Education:
Associate’s degree in business administration, public administration, or related field.
An equivalent combination of directly related work experience and education may substitute for the degree requirement on a year-per-year basis.
Additional Requirements:
Must possess a valid Arizona driver’s license.

  • State statutes – how to find and interpret them.
  • Principles and practices of work planning, organization, and employee training.
  • Departmental clerical, records management, and office procedures, including various internal programs.
  • Various data processing systems.
  • Business English, spelling, grammar, punctuation, and composition.
  • Research techniques and report writing.
  • Current Microsoft Office software.
  • Filing and recordkeeping.
Skill in:
  • Communicating effectively verbally and in writing and communicating orally in a face-to-face setting and by telephone with public and employees.
  • Organization and attention to detail.

Ability to:
  • Identify and investigate issues and develop corrective plans for potential problems.
  • Work cooperatively as a team within the office and with other departments.
  • Develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, County officials, and the public.
  • Easily assimilate information from state statutes and other databases both internally and externally to complete assignments and reports.
  • Keep management informed of key operating issues affecting the department.
  • Remain current in knowledge required to perform assigned duties.
  • Handle confidential matters and maintain discretion.
  • Act with courtesy, tact, and diplomacy
Work Environment:
The work environment is associated with an office. The work area is adequately lighted, heated or cooled and ventilated.
Physical Requirements:
Ability to sit or stand for extended periods of time. Sufficient vision to read printed materials and a computer screen; hearing and speech ability to communicate effectively in person and telephonically. Capable of frequent repetitive movement of arms, fingers, and wrists. Capable of occasional lifting up to 30 pounds.
