The branch administrator plays a crucial role in ensuring the smooth operation of a local branch. They act as a hub for administrative tasks, supporting the branch manager and crew while keeping the office running efficiently.

Responsibilities:

  • Customer Service: Answering phone calls, responding to emails, scheduling appointments, handling client inquiries and complaints.
  • Billing and Invoicing: Preparing invoices for landscaping services, collecting payments, reconciling accounts, managing customer contracts.
  • Payroll and HR: Processing payroll, maintaining employee records, complying with labor laws and regulations.
  • Inventory Management: Ordering and tracking supplies and equipment, maintaining inventory levels, managing purchasing budgets.
  • Office Management: Coordinating travel arrangements, booking meeting rooms, scheduling appointments, maintaining office supplies, ensuring a clean and organized workspace.

Operational Support:

  • Crew Coordination: Maintaining daily activity logs.
  • Project Management: Tracking project progress, ensuring materials are available, coordinating with subcontractors, reporting to the branch manager.
  • Safety Compliance: Enforcing safety protocols, maintaining safety records, conducting training sessions, reporting accidents.
  • Quality Control: Performing quality checks on completed projects, addressing customer concerns, ensuring service standards are met.

3. Communication:

  • Maintaining clear and effective communication with all stakeholders, including the branch manager, crew members, customers, suppliers, and other departments within the company.
  • Preparing reports and presentations for the branch manager, summarizing key operational data and financial performance.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficient in computer skills, including word processing, spreadsheets, and database software.
  • Knowledge of landscaping terminology and processes preferred.
  • Experience in customer service and a detail-oriented approach.
  • Ability to work independently and as part of a team.

Ideal Candidate must have:

  • 3 to 5 years’ experience in a business office with accounting related responsibilities
  • Must be proficient with computers, technology & software programs such as Microsoft Suite
