Description:

The Project Manager is directly responsible for ensuring the effective and efficient workflow, organization and execution of all photography, video productions and additional projects within XSIGHT. This is done by working closely with clients and key stakeholders and being the liaison between clients and the XSIGHT team, the sales team, production team and photography and video departments. This ensures all necessary project specifications, team members and tools for execution are in place to accomplish all project goals while meeting deadlines, staying on budget and preventing or solving production problems or conflicts. The Project Manager will possess an extensive knowledge of XSIGHT's workflows and processes as well as intrinsically understanding that the principles of scope, schedule and budget are central to managing successful projects from start to finish and to XSIGHT's standards.

Your focus in every decision is whether or not you're managing the information flow and overseeing the communication and progress of projects to create the most efficient workflow possible while enabling team members to work collaboratively and effectively in the execution of projects.

Responsibilities:

• Oversees photo & video projects and productions from start to completion and ensures all project deliverables are met including deadlines and budget requirements.
• Oversees the team responsible for executing projects and works with the Production Coordinator to ensure all information and resources are available and communicated for an efficient workflow.
• Manages project deadlines and internal production schedules in conjunction with the Production Coordinator to ensure the completion of delegated tasks.
• Acts as the liaison between commercial clients and the team to ensure effective communication is the focus of every project through every step of the process.
• Determines and delegates project milestones and necessary tasks in the workflow to team members and Independent Contractors and addresses any missed or late task completions that could cause delay in project progression.
• Works directly with clients throughout the project from start to finish to ensure their project goals are properly understood, communicated to the team and kept front of mind as projects progress
• Has an in-depth knowledge and understanding of XSIGHT’s standards, workflows, protocols, pricing, packages, job roles, systems and procedures.
• Ensures contracted clients are added to project management systems with all project information, details, deliverables, deadlines and all other pertinent information added
• Works with the production team for status updates for an overall view of progress, potential complications or obstacles and offers solutions.
• Solves problems as they arise and works collaboratively with the management team to address larger conflicts.
• Works closely with the Project Team to ensure client correspondence and updates are addressed and documented.
• Leads Pre-production meetings and all additional correspondence with clients, crew and independent contractors for larger scale projects.
• Oversees the scheduling all photo & video crew including Independent Contractors.
• Storyboarding, shot-list creation, call sheet creation, scripting, securing film permits, and location scouting duties as needed
• Creates production schedules for crew and clients for large scale productions and oversees schedules for medium to small productions.
• Attends productions on-set when needed
• Keeps productions within the set budget and in-line with concepts and goals outlined in pre-production
• Works with Producers to determine and assign all job roles to projects and productions (i.e. lead shooters, assistants, editors, etc.) including Independent Contractors.
• Corresponds with crew for availability and sends confirmation emails to crew when booking.
• Works directly with Independent Contractors in negotiating rates and communicating deliverables.
• Assists on researching potential Independent Contractors and is the primary point of contact for all IC's.
• Quality Assurance for project progression and final deliverables for productions.
• Assists in creating or reviewing pre-production items including creative briefs, concept documents and scripts.
• Ensures all project deliverables are documented and accounted for within the final project.
• Works with the creative team as needed to review projects and provide feedback to the and suggestions for refinement prior to sending to clients.
• Organizes group critiques and reviews for collective collaboration on projects.
• Ensures final products meet or exceed the project deliverables and client expectations without exceeding the project budget.
• Ensures final products are to XSIGHT’s standards.
• Assists with proposal and contract creation for larger commercial jobs, websites and marketing services as needed.
• Works with clients in conjunction with the CEO and/or Project Coordinator on project updates, project specifics and change in scope or requests.
• Conducts weekly team meeting agenda items.
• Tracks client invoicing, contracts and payments weekly.
• Steps in when needed to support the production team and other team members in task completion.
• Encourages and offers support, answers questions and provides assistance to team members as needed to keep projects moving forward.
• Manages all team members in relation to company policies, protocols and general HR and office related items.
• Has the ability and drive to be an effective, passionate and respectful leader in the company.

Requirements:

• Minimum of two years experience in project management, coordination or general management with proven ability to lead and organize a team.
• Must be local or planning to be local to the Sacramento area and able to work full-time in our creative studio in Downtown Sacramento.
• Some weekend and evening work may be required.

Job Type: Full-time

Pay: $65,000.00 - $80,000.00 per year
