Wynlakes Golf & Country Club is Hiring a Receptionist/Executive Administrative Assistant Near Montgomery, AL

Job Summary (Essential Functions)
Maintain exact records of accounts payable. Reconcile accounts payable with invoices, purchase orders and expense reports. Write and issue payments on accounts.

Job Tasks (Additional Responsibilities)- Accounts Payable Duties

  • Collects and files invoices.
  • Audits vendor invoices; ensures that all invoices have been approved for payment by the appropriate manager.
  • Posts invoices to proper accounts.
  • Prepares and maintains weekly purchasing reports by departments.
  • Purchases and maintains office supplies.
  • Compiles and maintains credit applications for vendors.
  • Assists controller in preparing month-end financial statements.
  • Processes all bills for final payment; provides checks with supporting documentation for signing by Business Manager.
  • Manages all credit memos to ensure that no incorrect charges are paid.
  • Assists with clerical work in the accounting department.
  • Maintains vendor contact records.
  • Reconciles vendor statements to ensure that all invoices are accounted for.
  • Interacts with department heads regarding credit memos and invoice problems.
  • Generates and mails Federal Form 1099 to contractors.
  • Serves as “back-up” to HR Manager for payroll processing.
  • Serves as “back-up” to HR Manager and accounts receivables for minor duties set by Business Manager/Controller.
  • Serves as “back-up” to Marketing Director for website and social media postings.

Job Tasks (Additional Responsibilities)- Receptionist Duties

  • Responsible for switchboard operation, including proper forwarding of all calls.
  • Communicates changes in office hours or club operations.
  • Records switchboard messages and updates time systems in telephone systems.
  • Clerical duties including maintaining membership packets and copies of other club forms.
  • Communicates with the board regarding board meetings and maintains general correspondence for/to the Business Manager and General Manager.
  • Provides support function for clubhouse reservations
  • Accepts various deliveries and communicates parcel information to the necessary departments.
  • Runs errands on behalf of the club, as needed.
  • Trains new employees on phone system.
  • Checks US mail and disperses to correct departments.
  • Tracks meter levels on postage machine.
  • Receives and screens visitors.
  • Help with mailing of monthly statements to members
  • Maintains the office area to keep it neat and tidy
  • Assists managers as needed with minor issues.

Job Tasks (Additional Responsibilities)-Assistant to the General Manager/Controller

  • Calculates and pays all sales and use taxes.
  • Handles delinquent member accounts; sending letters, emails and phone calls
  • Monitors General Managers calendar, calls and appointments
  • Completes other appropriate assignments made by General Manager/Controller

Hours
The scheduled hours for this position are Monday - Friday from 8:00 a.m. - 2:00 p.m. (30 hours per week)

Experience:
Must have a minimum of 5 years experience in an office setting.
