Wyboo Plantation Property Administrator Position
Wyboo Plantation has an opening for a Property Administrator. This is a part-time position Monday through Friday 5 hours a day. Hours can be flexible and decided during the interview process. Pay is commensurate with experience. Benefits include earned paid time off.
The Property Administrator is the first point of contact for people when they come to Wyboo or have an issue. As such, the Administrator serves as a representative of the Board of Directors (BOD) and must conduct themself in a professional and friendly manner. The Administrator is responsible for most of the day-to-day operations within the community including financial transactions, residential compliance with rules and regulations, and interaction with vendors and contractors. The Property Administrator will be under the direct supervision of the Vice-President, WPOA BOD (Administration) and the Treasurer, WPOA BOD (Financial). The position requires full knowledge of Microsoft Office Suite, and QuickBooks. Candidates for this position must complete a background check and employment in the position will require the signing of a Non-Disclosure Agreement (NDA). This position is considered “At Will” employment, meaning the employer and employee have the right to terminate employment at any time. Some of the duties to be performed by the Administrator are, but not limited to:
Ø Manage day to day operations in the Property Administrator Office:
o Answer phone, email, and personal inquiries from residents, contractors, real estate agents and prospective buyers. Document contacts with all.
o Provide information to real estate agents/prospective buyers on the community and amenities, Covenants and By-Laws, HOA dues and fees. Document contacts with all.
o Maintain Administration Files.
o Prepare reports at the direction of Board Members.
o Prepare the community center area for Board Workshops and Meetings to include tables/chairs and audio systems and take down following meetings.
Ø Conduct frequent inspections of owners’ properties:
o Document violations of Covenants and By-Laws
o Notify violators of Covenants and By-Laws using an escalating scale of severity (personal, telephone or email) followed by implementation of monetary fines.
o Maintain historical records of violations.
Ø Maintain computer databases to track/manage:
o Current residents
o Storage lot renters
o Boat lift remotes
Ø Maintain daily/monthly/annual financial transactions using QuickBooks and Databases.
o Maintain daily-financial records to include financial receipts and disbursements.
o Prepare monthly and YTD, or upon request, balance statements.
o Assist in annual preparation of Budget.
o Receive and deposit financial transactions.
o Verify the accuracy of and record bills in appropriate QuickBooks accounts.
o Prepare and process weekly payments to vendors, residents, employees.
o Pay state and federal withholding and unemployment taxes as required.
o Prepare required state and federal employment tax forms on a monthly, quarterly and annual basis.
o Monitor bank balances and advise the Treasurer of cash flow issues.
o Annually, prepare and distribute HOA invoices in accordance with the BOD directions.
o Maintain databases as properties are sold.
o Prepare and publish Quarterly phone directories.
o Monitor WPOA insurance policies and advise the BOD of changes in coverages and premiums.
