WS Management is Hiring a Sales coordinator hotel Near Grove, CA

Position Summary

Performs administrative functions in support of property sales and catering in an effort to provide timely and accurate services to our hotel team, our in-house groups / events and our potential future guest.

The position requires supporting the team in generating sales-related documents and promoting the hotel brand. The Sales Coordinator will communicate with clients by phone and email to address their concerns and questions.

This is a non-exempt hourly position.

Duties and Responsibilities

Demonstrate knowledge and commitment to company's mission, values and standards of ethical behavior and outstanding customer service both internally and externally.

Model a positive and professional image that emulates the organization's commitments and encourages a spirit of cooperation with co-workers.

Provides support to co-workers and promotes teamwork by sharing information useful to achieving desired results.

Promptly answer telephone calls and communicate relevant account information to managers and departments.

Type and process correspondence, proposals, banquet event orders and contracts as directed by management.

Distribute memos, contracts, resumes, room requests, amenities and other communication as it relates to sales and catering to relevant departments.

Act as a liaison between Sales / Catering Director and other departments to properly communicate information needed for upcoming events including distribution of BEO's, resumes and changes.

Politely and professionally converse with clients and respond to all inquiries.

Coordinate as appropriate with other departments to ensure seamless delivery of service and guest satisfaction.

File and organize copies of contracts and correspondence ensuring records are up to date.

Reserve and confirm rooms, meeting space, and banquet space when necessary.

Follow sustainability guidelines and practices related to HHM's EarthView program.

In collaboration with the hotel management, conduct any walk-in or scheduled tours for social blocks and corporate / group potential clients.

Assist the sales & banquet department in setting up or break down of meeting rooms or events, and respond to guest needs as necessary, as needed.

Inspect event rooms, show rooms, and ready meeting space for site tours and client meetings.

Maintain a professional and creative attitude while dealing with internal and external customers.

Electronically maintains contact info for VIP guests, returning guests and event customers.

Perform other duties as requested by management team.

Position Requirements

High School diploma or Bachelor's Degree preferred, but not required.

Previous hotel sales or catering experience preferred, but not required.

Experience using Opera Hotel operating system highly preferred, but not required.

Sufficient computer skills including proficiency in Microsoft Office, Outlook, Teams, Accounting Software.

Good grammatical, punctuation and spelling skills.

Strong detail orientation and high accuracy level.

Strong communication skills, both one-on-one and in a group, and ability to listen and respond to questions effectively.

Work Environment and Context

  • Work schedule varies and may include occasionally working on holidays, evenings on weekends.
  • Required to sit for extended periods, lift up to 20 pounds, bend, reach, use hands and fingers to operate keyboard.
