OFFICIAL TITLE: Clerk V, Career Services and Binienda Center
SUPERVISION RECEIVED: Directly reports to the Director of Career Services and indirectly reports to the Director of the John J. Binienda Center for Civic Engagement
SUPERVISION EXERCISED: May supervise non-benefited part-time and student employees

General Statement of Duties: The Clerk V is responsible for front-line customer service functions, including answering phones, answering emails and greeting guests. The incumbent will provide general clerical assistance for the Career Services and Binienda Center staff, including scheduling appointments.

Responsibilities:

(E) = Essential

  • (E) Responsible for exceptional front-line customer service; greeting guests, answering telephones, and responding to inquiries related to the departments according to established procedures.
  • (E) Researches and authorizes new contact requests and position postings in online job/internship database.
  • (E) Shares general information regarding services and resources with students, as needed.
  • (E) Serves as a representative for the office, welcoming employers to campus for events and on-campus recruiting.
  • (E) Supervises and schedules student office employees, including completion of all hiring paperwork needed for Human Resources.
  • (E) Utilizes office career management platform to create emails, including weekly emails and monthly newsletters.
  • (E) Provides budget-related support, including printing budget reports, completing monthly p-card statements, submitting requisitions, transfers and purchase orders.
  • (E) Orders and maintains office and programing supplies, keeping office well-stocked and organized.
  • (E) Maintains all resource materials and works with Marketing/Printing and Publishing to order and print program and office items.
  • (E) Supports office events including scheduling of student appointments, booking on campus event space, and submitting catering orders.
  • (E) Prepares documents to include letters, memos, emails, sign-up lists, reports, etc. related to office events and activities.
  • (E) Handles sensitive information with discretion and maintains confidentiality.
  • (E) Oversees hiring, onboarding, training and timesheets for all student employees.
  • (E) Files materials in accordance with prescribed classification system, converting print files to electronic files where applicable; ensures all files are accessible and accurate.
  • (E) Compiles statistical information to be included in reports of office activities.
  • (E) Provides oversight of WSU Career Closet including sorting through donations and sending out thank you notes to donors.
  • (E) Manages time effectively to meet deadlines.
  • (E) Ability to effectively coordinate multiple tasks and priorities.
  • (E) Demonstrates civility and professional, customer-service oriented behavior, worthy of emulation by other staff and students.
  • (E) Responsible for contributing to the WSU Strategic Plan.

Required Qualifications:

  • Must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *
III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience. *
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience. *
  • Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.
  • Knowledge of the English language including spelling, word meaning and word usage.
  • Ability to understand and apply the laws, rules, policies and procedures governing assigned unit activities.
  • Ability to read, write, and comprehend the English language.
  • Ability to use proper grammar, punctuation and spelling
  • Ability to follow written and oral instructions.
  • Ability to assemble items of information in accordance with established procedures.
  • Ability to work accurately with names, numbers, codes and/or symbols.
  • Ability to file material in accordance with standard filing procedures.
  • Ability to maintain accurate records.

  • Knowledge of proper telephone procedures for making and receiving agency calls.

Preferred Qualifications:

  • Strong Microsoft Office skills, including Word, Excel, and PowerPoint.
  • Knowledge and ability to create and use google docs.
  • Ability to handle multiple responsibilities and deadlines simultaneously.
  • Strong customer service skills.
  • Experience as a frontline team member in a high traffic office setting.
  • Experience in working in a higher education setting.

This is a grade 15, non-exempt, full-time (37.5 hours), benefited AFSCME position. The bi-weekly salary is $1,820.72 (annual salary is $47,338.72)
Work Schedule: Monday through Friday, 9:00am- 5:00pm.
