JOB DESCRIPTION SUMMARY
Serve as confidential administrative assistant to the Department Head of Electrical & Computer Engineering, assisting the Department Head with a wide variety of complex administrative support functions. Provide administrative support for department faculty as needed. Maintain a working knowledge of policies and procedures associated with WPI and interface with other administrative offices to answer questions and solve problems.

JOB DESCRIPTION
Responsibilities:
  • Assist the Department Head in all operational aspects of the ECE Department including budget tracking and expense planning. Prepare and analyze confidential department budget and expense records. Prepare and process purchase orders and other financial documents for review and approval by the Department Head. Process expense reports for all members of the ECE department including the Department Head, faculty, and students. Process ECE faculty summer salary requests in a timely manner.
  • Assist the Department Head and the department's Capital Improvements Committee in planning and managing a variety of renovation projects including office and lab renovations for new faculty. Procure project quotes, interact with contractors to schedule renovations, oversee progress, and provide periodic progress updates. Process final project invoices.
  • Assist the Department Head in planning a variety of department meetings and events including, but not limited to, faculty meetings, advisory board meetings, annual faculty retreat, senior banquet, and other department events. Schedule meeting rooms and other facilities as needed. Secure venues and catering and assist with planning meeting agendas.
  • Attend ECE Faculty, ECE Advisory Board, annual retreat, and Capital Improvements Committee meetings to take minutes and provide these minutes in a timely manner to the Department Head and faculty for review. Meeting minutes must be approved by the faculty and kept in electronic department archives.
  • Complete purchasing for the department including office supplies, special orders, furniture, and lab equipment for faculty and students. Maintain an inventory of stock of office supplies and replenish supplies as needed.
  • Assist the Department Head and department search committee with faculty and staff recruiting and hiring. Plan travel, accommodations, and agenda for all faculty and staff candidates that are invited to campus.
  • Assist the Department Head in gathering data for the annual ECEDHA survey.
  • Assist the Department Head with the logistics and scheduling of annual department tenure committee reviews.
  • Develop and maintain proficiency in use of standardized campus software systems, e.g. Workday.
  • Perform other duties as assigned.
Requirements:
  • Preference will be given to candidates with five or more years of experience in an administrative assistant or related support position capacity. Prior experience in budget and expense tracking is important. Prior experience with Workday is a plus, but on-the-job training will also be provided.
  • Substantial computer experience either with Microsoft Windows or Apple MacOS and proficiency with Microsoft Office tools including Word and Excel is necessary.
  • Must be able to prioritize and organize work effectively and be able to manage several projects simultaneously.
  • Strong organizational skills are important, especially in a largely paper-free post-COVID work environment.
  • The successful candidate will have strong communication skills, both written and verbal, and the ability to work independently with a diverse group of faculty, staff, and students.FLSA STATUS
