Job Description: Bookkeeper
The Bookkeeper reports directly to the Community Manager.
The Bookkeeper’s responsibilities include:
~ Responsible for general bookkeeping functions including Accounts Receivable, Accounts Payable and General Ledger.
~ Participate in monthly financial close, including journal entry processing and general ledger account activity review, to ensure financial statement accuracy and adherence to Association accounting policy and GAAP.
~ Ensure codes assigned to disbursements are accurate.
~ Process internal/external billing as required.
~ Process accounts payable as required.
~ Assist Community Manager in preparation of Annual Budget.
~ Assist in preparing monthly financial statements for Board of Directors.
~ Prepare and process payroll in conjunction with third party payroll company. Assure required payments made to departing employees per legal timing requirements.
~ Track employee vacation and sick leave usage for monthly payroll purposes.
~ Prepare and maintain payroll reporting for outside agencies such as workers compensation and EEOC.
~ Maintain up-to-date listing of all homeowners with current addresses and contact information.
~ Determine owner/renter ratio, annually.
~ Ensure changes of ownership, address changes and tenant leases are properly entered into the database.
~ Lockbox posting.
~ Process title payments on new ownership of condos purchased and sold.
~ Maintain records of owner dues and special assessment payments. Work with collection agency. Maintain owner payment agreement balances and timeliness. Follow up on overdue owner account balances.
~ Prepare and fille all 1099 Forms.
~ Prepare checks for signature and distribution.
~ Serve as secondary phone backup in Office.
~ Special projects as assigned.
General Administration
~ Document and maintain up-to-date records, including but not limited to: owner contact information’ tenant contact information; tax information; Board Minutes; vendor warranties, blueprints and drawings; legal documentation; dispute communications; tenant leases; requests for accommodation; architectural applications, homeowner unit files and a policy manual.
Communications
~ Continue to build comprehensive homeowner database of homeowner and tenant email address.
Financial Management
~ Provide for the collection and deposit of all dues and assessments; maintain separate bank accounts as directed by the President and Treasurer.
~ Oversee invoices, receivables, payables, and delinquencies, for accuracy, proper coding, prompt payment and follow up on delinquencies.
~ Maintain accounting records in accordance with general accepted industry standards. Reconcile all bank statements and provide reconciliations to the President and Treasurer.
~ Provide monthly financial statements to the Board of Directors.
~ Determine owner/renter ratio, annually – maintain monthly.
