Position Title: Purchasing & Receiving Manager

Reports To: Director of Purchasing & Receiving

Location: Woodmont Country Club


Position Overview:
The Purchasing & Receiving Manager is a vital management role at Woodmont Country Club, responsible for overseeing all aspects of purchasing, receiving, quality control, and product management. This position demands a proactive leader who will support the club's vision through effective management of food, dry goods, clubhouse supplies, and more, ensuring excellence in operations and fostering strong relationships with vendors and the team.


Key Responsibilities:


  • Leadership & Training:
    Act as a guiding leader for the entire Westwood team, contributing significantly to the development and training of all Food & Beverage (F&B) staff in product knowledge and organizational practices.
  • Standard Operating Procedures: Design and implement standard operating procedures (SOPs) for managing interactions with vendors and suppliers, ensuring consistency and efficiency in operations.
  • Vendor Relationships: Build and maintain robust relationships with vendors, suppliers, and local farms to ensure the club benefits from high-quality products and services.
  • Team Development: Play a crucial role in the growth and development of 2-3 receiving team members, fostering a culture of learning and improvement.
  • Inventory Management: Take full responsibility for the monthly food inventory process and ensure accurate and organized accountability for all food and dry goods.
  • Order Management: Oversee the ordering of all necessary supplies, including food, dry goods, clubhouse essentials, CO2/Propane, and linen, optimizing cost and quality control.
  • Quality Control: Uphold the Westwood standard for product quality, ensuring that all items meet or exceed the club's expectations for excellence.
  • Cultural Ambassador: Embody and promote the Westwood culture of positivity and professionalism, setting a standard for behavior within the team.
  • Financial Oversight: Manage the invoicing and coding for all food and dry goods, and create Profit & Loss (P&L) statements for specific events and food specials to support financial analysis and planning.
  • Community Engagement: Develop credibility and trust with Westwood members and the broader team, enhancing the club's reputation and member satisfaction.
  • Maintenance Coordination: Coordinate and execute all maintenance and repair activities for Food & Beverage operations, ensuring that facilities and equipment are maintained to high standards.

Qualifications:

  • Proven experience in purchasing and receiving, preferably within the hospitality or country club industry.
  • Strong leadership and team development skills.
  • Excellent relationship-building abilities with vendors, team members, and community stakeholders.
  • Knowledge of inventory management, quality control, and financial reporting.
  • Ability to create and execute SOPs and training programs.
  • Demonstrated ability to manage and organize large volumes of products.
  • Commitment to upholding a positive workplace culture and maintaining high standards of professionalism.
  • Effective communication skills, both written and verbal.
  • Flexibility to adapt to changing priorities and manage multiple tasks concurrently.
