Wisconsin Association of Independent Colleges and Universities is Hiring an Assistant for Operations and Collaborative Services Near Madison, WI

We advance the interests and promote the development of independent colleges and universities in Wisconsin. We promote the value and purpose of independent higher education and advocate equitable public. We administer resource sharing, the exchange of information and scholarship, and mutual consultation and cooperation among the twenty-two independent colleges and universities in Wisconsin. The assistant for operations and collaborative services will join a talented team responsible for WAICU’s collaborative programs helping our member institutions control costs.

As the Assistant for Operations and Collaborative Services here are the responsibilities we'll entrust you with…

Operations – 60%

  • Provide administrative support for the Chief Operating Officer (COO).
  • Maintain databases of WAICU members and manage WAICU Connect affinity group platform.
  • Work with all WAICU staff to develop standard procedures and “best practices.”
  • Manage the meeting scheduling and registration process for assigned WAICU group meetings, workshops, and events, and maintain attendance records.
  • Process transcript and education verification requests.
  • Assume primary responsibility for daily office routines such as answering phones, greeting visitors, handling mail, processing checks; and coordinating with fellow administrators on back up.

· Organize and maintain workroom, kitchen, and storage areas, inventory, and supplies.

· Submit and track service tickets for third-party phone system and IT service needs, providing first-line support for staff when appropriate.

· Support budget managers by creating and issuing invoices and tracking payments upon request.

  • Assist COO with vendor monitoring, evaluation, and replacement as needed.

Collaborative Services – 40%

· Provide administrative support for WAICU affiliates, including scheduling board and committee meetings and taking minutes.

· Maintain record of member participation in group meetings and programs, member program savings, and WAICU program revenues for collaborative programs.

· Coordinate activities throughout the collaborative program life cycle, including communication materials, recurring vendor check-ins, and contract renewal cycles.

· First line response to inquiries about collaborative programs.

Opportunity for Growth:

We are looking to fill this position in May, 2024. This position offers 20 hours per week initially, providing an excellent opportunity to balance work with other commitments.
