Williamsburg Landing is Hiring a Clinical Coordinator/Scheduler Near Williamsburg, VA

Description

Williamsburg Landing, a CARF-accredited life plan community, seeks a Full-time Clinical Coordinator/Scheduler who will report directly to the Healthcare Administrator and partner with the Memory Support Manager to support staff members in Health & Rehabilitation, Assisted Living, Memory Support and Namaste. This position maintains direct communication with the clinical leadership in the licensed areas and is responsible for coordinating and communicating staffing needs, open positions, and scheduling changes.

ESSENTIAL JOB FUNCTIONS

  • Exercises sound judgment to create and manage the employee schedule, obtaining replacements for absences for the licensed areas, when needed. Ensures electronic scheduling is utilized according to Williamsburg Landing expectations.
  • Sets and communicates schedules to new team members working in Assisted Living, Memory Support, Namaste and the Health & Rehabilitation Center (licensed areas)
  • Completes the daily staffing assignment sheets for the licensed areas; ensures continuity of staff is maintained each shift of each day as consistently as possible
  • Ensures bi-weekly reconciliation of staff payroll and maintains an accurate record of attendance, to report suspected policy violations
  • Ensures that Personnel Action Forms for new hires, staff classification changes, and terminations are sent to Talent Management in a timely manner for the licensed areas
  • Completes the monthly general ledger for the licensed areas and tracks departmental expenditures so they remain within budgeted guidelines
  • Places requisitions for the purchase of nursing, therapy and medical supplies for the licensed areas
  • Ensures bi-weekly reconciliation of staff payroll and maintains an accurate record of attendance, to report suspected policy violations
  • Works with the Administrative Assistant to complete and submit a monthly report of all purchases made for residents in the licensed areas to Finance & Accounting
  • Maintains positive interaction with residents, guests and other Williamsburg Landing employees; handles routine employee complaints, requesting assistance when needed
  • Assists with addressing issues when they arise such as pharmacy bill questions, medical records request, and follow up on paperwork from outside physician’s office following resident appointments
  • Performs other duties as assigned

QUALIFICATIONS

  • High school diploma or GED, required
  • Two or more (2 ) years performing administrative duties including demonstrated experience with staff scheduling utilizing a time & attendance platform, preferably in a healthcare setting
  • Proficiency with office software such as Google Suite or Microsoft Office
  • Demonstrated experience with working independently and as part of a team with strong organizational, administrative and planning skills and meticulous attention to detail

KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to speak, read and write in English
  • Ability to read and interpret policies
  • Ability to understand and respond appropriately to older adults with unique life issues
  • Knowledge of cash receipts and basic accounting procedures
  • Ability to handle a wide variety of tasks simultaneously
  • Ability to relate well with visitors, residents and staff in a courteous, friendly, prompt, and tactful manner
