Wildwood Lodge Pewaukee is Hiring a Sales Coordinator Near Waukesha, WI

The Sales Coordinator provides general support to the sales team(Sales Catering executive HI) in a variety of activities; acts as the primary contact for all meeting and banquet related functions; books Corporate, Sports & Social Group Business; manages groups; books individual reservations and qualifies for more business. Generating reports, statistical data, faxes and its proper distribution is also the responsibility of this person.

Essential Functions

  • Assists in special projects as requested by the Area Market Sales Lead, Sales Catering Executive and/or COE
  • Releases unused rooms on cut-off date after calling client
  • Manages GRC (group rooms calendar) updates
  • Prepares Group Resume Packets and distributes to front desk
  • Greets on-site group contact whenever possible
  • Follows up with Thank You/Group Survey
  • Maintains relationships for future business
  • Contracts meeting rooms via BEO
  • Creates diagrams for room set up
  • Orders Food & Beverage for meetings
  • Adds events to Meeting Agenda Calendar & distributes to Front Desk
  • Manages details the day of meeting
  • Qualifies business meeting business
  • Sends contract and obtains signed contract for group bookings
  • Builds Room Blocks
  • Inputs Rooming Lists (if applicable)
  • Books & manages all group blocks
  • Books & manages all meetings
  • Tours for walk-in customers (qualify & sell or pass to manager)
  • Processes BT (Business transient) and group contracts
  • Utilizes reservation system for sales related administrative functions
  • Maintains and follows up with new leads for meeting business
  • Uses Etools for group rooming lists, reservation links and custom web pages
  • Builds company rate programs and group blocks
  • Updates GRC, Meeting Agenda & Company Production Reports
  • Assists Area Market Sales Lead with inventory management
  • FNC & GRP monitoring and check out of folios
  • Prepares promotional and marketing materials
  • Prepares weekly, monthly, and quarterly reports for Area Market Sales Lead

Other Job Duties

Respond quickly to guest requests in a friendly manner. Follow up to ensure guest satisfaction.

Provide a professional image at all times through appearance, dress, and behavior.

Follow company policies and procedures and department SOP’s is able to effectively communicate them to others.

Knowledgeable of hotel property, amenities, area attractions and transportation.

Support all Hotels and/or Company initiated Guest and Associate Programs

REQUIRED SKILLS AND ABILITIES:

Sales Coordinator must have the ability to communicate in English. Self-starting personality with an even disposition. Maintain a professional appearance and manner at all times. Can communicate well with guests. Must be willing to “pitch-in” and help co- workers with their job duties and be a team play

Job Types: Full-time, Part-time

Pay: $18.00 - $22.00 per hour

Expected hours: 40 per week
