Scope of Position
The Office Administrator is responsible for managing and maintaining all basic office and human resource functions. In addition, this position will support sales, customer service, marketing, and accounting as needed. This is a full-time position year-round.
Key Responsibilities
  • Provides administrative support to ensure efficient office operations.
  • Answering front door and coordinating visitors
  • Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
  • Obtaining and retaining all employee and new employee paperwork
  • Managing workman compensation claims and paperwork
  • Managing time cards and monitoring time punches
  • Reviewing and entering hours for payroll
  • Maintaining filing for Accounts Payable and Accounts Receivable
  • Assisting with Mailings for AP, AR, and Marketing
  • Assisting with marketing and sales tasks as needed
  • May perform tasks for other departments or as deemed needed by President and CFO
  • Responds to emails and other digital queries and correspondence.
  • Drafts and edits letters, reports, and other documents.
  • Inputs and updates information in databases and spreadsheets.
  • Uses word processing and presentation software to create and edit documents.
  • Operates and maintains office equipment, including printers, copiers, and fax machines.
  • Ordering of office supplies and making sure they are always on hand.
  • Works closely with customer service and supports other colleagues as needed.
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
  • Ensures that deadlines are met and adapts to changing priorities.
  • Presents a positive and professional image for the organization.
Working Conditions
  • Working at a desk on a computer most of the day
  • Full range of motion to bend and reach to perform filing, records retention and inventory duties is required.
Education, Experience, and Licensing Requirements:
  • Associate's Degree (A.A.) or equivalent; three to five years related experience, or equivalent combination of education and experience.
  • Certified Administrative Professional (CAP) or Microsoft Office Specialist (MOS) certification a plus
  • Past administrative experience or tenure in an office setting a plus
  • Previous office work experience is preferred
  • Fluent Computer skills: Word, Excel, and PowerPoint
  • Strong communication skills
