This position supports all aspects of the White Center Food Bank’s administrative infrastructure. The Office & Finance Manager is responsible for development, training, control systems and maintenance of all financial, administrative, technology, program and payroll systems.
The Office & Finance Manager connects to the mission of the WCFB by creating and upholding the backbone systems for every function designed to directly provide resources to nourish the community to track input and output of donations (in-kind and income) for reporting, compliance and strategic direction.

All positions at WCFB are expected to manage time effectively, engage with customers, volunteers and donors with compassion and support in-kind and financial resource development.
This position is a salaried exempt (not overtime eligible) at 40 average hours/week and will be supervised by the Executive Director. Schedule will be M-F, 8:30 am to 4:30 pm with some flexibility as needed.
Finance Responsibilities 50%
● Ensure proper financial controls are established and maintained
● Develop and maintain all financial management systems following GAAP guidelines
● Primary responsibility to ensure accurate and consistent entry of financial information by development and execution of policies and processes
● Management of all Accounts Payable functions from expense tracking to payment
● Management of all Accounts Receivable functions
● Provide financial reports for board, leadership and grant activities
● Analyze financials and share insights regarding the overall financial health of the organization
● Attend all Board Finance Committee meetings (one evening a month)
● Develop and manage budgeting process and timeline for Executive Director and Board
● Attend Board Meetings (one evening a month) as requested
Grant Administration Responsibilities 30%
● In coordination with appropriate manager review funding rewards to ensure funds are expended in compliance with terms and condition
● Assist in monitoring measurable outcomes as required by funding sources
● Prepare and maintain accurate ledgers and required data for grant reporting
● Provide data related to grant to appropriate manager to ensure a successful report and complete spending of grant
Payroll System Responsibilities 10%
● In coordination with appropriate manager onboard new employees for overall office systems, documentation and culture prior to specific job training
● Ensure job descriptions and employee files are updated and files contain required documents
● Execution of payroll for all employees
Technology and overall Program Support 10%
● Establish and oversee all computer hardware, networks, software and office equipment ensuring all is available and in working order
● Work with employees to connect with technology vendors for their immediate needs
● Design, maintain and train others to utilize all database systems for program input and impact tracking
● Train and oversee quality and controls for accuracy and efficiency for all users of data entry tools
● Research and set up complementary data base systems minimizing double entry while ensuring controls and accuracy
● Maintain supplies and equipment for a successful team
Required Knowledge and Skills
● Ability to work evenings and weekends as needed
● Bachelor’s in finance or accounting or similar plus 2 years of experience or equivalent
● Proficiency with Quickbooks Online and Microsoft Office, especially Excel
Preferred Knowledge and Skills
● Valid Washington State Driver’s License
● Familiarity with Salesforce
● Preference for those that are bi-lingual, especially in one of the following: Khmer, Vietnamese, Arabic, Somali, Tigrinya, or Amharic.
● Previous experience in food access, whether professional or lived

Compensation
● Salary range is $77,000 - $90,000/year (depending on qualifications/experience), 40 hours/week, M-F
