Whalley Law PLLC is Hiring a Personal Assistant Near University Place, WA

Job description

Whalley Law is searching for an Personal Assistant to support our Executive in a personal and professional capacity. The balance of support will change over time between personal and professional duties.

This position requires availability between 50-60 hours a week. The assistant will need to be available Monday-Friday between the hours of 7:00am - 6:30pm. Some nights and weekends will be needed on a limited basis. This is a fast paced position that will support our executive in every area of their life. Must be flexible and willing to work hard.

Reliable transportation is required. Travel between Tacoma, WA and Spokane, WA will be necessary. Out of town travel may be required on a limited basis.

Responsibilities:

Personal Support:
- Childcare for three (3) kids ages 3-7 (activities, homework, playing outside, etc.)
- Transportation of children (School & Activities etc)
- Meal Preparation (Executive & Family)
- Household duties (Errands, Cleaning, Laundry etc)

Professional Support:
- Manage Communication - front desk operations, including answering and directing phone calls, greeting visitors, and handling e-mail, mail and deliveries.
- Provide excellent customer service by assisting clients and addressing their inquiries or concerns.
- Assist with office management tasks such as ordering supplies, maintaining inventory, and coordinating maintenance and repairs.
- Manage calendars and schedule appointments using Outlook Calendar and Practice Panther.
- Manage community relations, attend events in absentia of the Executive.
- Assist with organizing and maintaining files, both physical and digital.
- Coordinate travel arrangements and accommodations for staff members.
- Assist with event planning and coordination.
- Errands and team management as directed by Executive.

Skills:
- Highly energetic with a positive attitude.
- Childcare experience & ability to manage household tasks.
- Proficient use of time with a focus on completing the tasks provided.
- Ability to manage communication efficiently and effectively.
- Professional presentation with strong writing skills.
- Experience in office management tasks such as ordering supplies, managing inventory, and coordinating maintenance.
- Proficient in using Microsoft Office Suite, including Outlook Calendar for scheduling appointments.
- Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities.
- Ability to maintain confidentiality and handle sensitive information with discretion.
