Direct Supervisor: Asset Manager
1. Position Brief:
The Area Manager will manage and oversee properties with full accountability for all day-to-day property operations, overseeing and enhancing the value of the property. An Area Manager must embrace the concepts of high leadership skills and group responsibility. Holding the highest level of authority on the area, the Area Manager oversees the activity of the entire on-site staff and maintenance staff, where the main goal is to effectively manage and coordinate persons, activities, and available resources in order to accomplish community objectives as set forth by both, the Regional Manager and Westland Real Estate Group’s visions. These objectives will include maximizing occupancy levels and
community values and engage in tenants’ satisfaction. In addition, the Area Manager will train the Onsite Resident Managers to execute their responsibilities.
2. Essential Basic Requirement:
a. Experience:
  • 3-5 years experience in on-site property management preferred;
  • Ability to oversee general operations of a residential property
  • Yardi (or other similar property management programs) Experience - Mandatory
  • Advanced computer literate, including Microsoft, Office, Excel, Google, and other various operational programs; Proficient in Yardi or other similar property management software
  • Ability to build routine procedures, checklists, and oversee all necessary steps in accordance with Company’s policy
  • Ability to set training goals for inexperienced employees
  • Ability to communicate and daily correspondence with Regional Manager
  • Ability to speak effectively before groups of customers or employees
  • Advanced knowledge in drafting financial reports, pro-formas, budgets, estimate financial projections, calculations of residential data such as vacancies, evictions, cap-rate, interest, gross/net income, deposits, and other related amounts.
  • Entrada software experience a plus
b. Education:
  • Bachelor's Degree in Real Estate Property Management - preferred
  • Real Estate Certificate - preferred
c. Personal Competencies:
Leadership skills, training ability, motivation for sales, meeting sales goals, negotiation, selling to customer needs, territory management skills, closing skills, prospecting skills, professionalism, internal communications, listening, communication processes.
3. Additional Requirements:
Excellent interpersonal skills and ability to deal effectively with employees from diverse social, economic and ethnic backgrounds. Employees must fulfill the performance standards of this position and comply with policies, rules and procedures of the company, including those set out in the Employee Handbook or otherwise communicated (verbally or writing) to employees.
Extensive mobility and good physical condition required. Area Manager must be able to perform
the physical functions of this position, which may include, but are not limited to: ability to walk
property, including stairs, to complete physical inspections, deliver resident communications,
and show apartments. This position requires the ability to occasionally lift office products and
supplies, up to approximately 20 - 30 pounds.
Must have valid driver’s license and automobile insurance. Will need to utilize personal
transportation to inspect apartment community and surrounding neighborhood, and visit the
regional office for managers’ meetings.
4. Job Duties and Responsibilities:
Administrative and Financial
  • Demonstrate ability to understand financial goals, operate asset in company's best interest in accordance with Policies & Procedures
  • Oversee collecting of rent; ensure optimal cash flow by setting a date to collect rent each month and strictly enforcing late fees; ensure that all rents and late fees/check charges are collected, posted and deposited in a timely manner
  • Formulate budgets for each upcoming calendar year; prepare annual budgets and income projections accurately and timely in accordance to Westland Real Estate Group’s policies
  • Oversee Leasing activity in Area, attract tenants by advertising vacancies; obtain referrals from current tenants; explain advantages of location and services
  • Maintain accurate records of all resident activity and submit on a timely basis (i.e., delinquency reports, move-in/move-outs, etc.)
  • Establish rental rate by surveying local rental rates; Calculate overhead costs, depreciation, taxes, and profit goals
  • Generate necessary legal action, documents and process in accordance with State Law and Westland Real Estate Group’s guidelines
  • Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance
  • Ensure that invoices are submitted to Westland Real Estate Group’s corporate office for payment, handle petty cash and all funds
  • Inspect vacant units and monitor completion of repairs; plan renovations; review recurring contracts with landscaping and other vendors
  • Oversee Leasing Application Process, perform tenant screening system and criteria checks, approve application
  • Constant vendor/contractor communications concerning work scheduling, billings, vacant units remodeling, and construction projects
  • Enforce occupancy policies and procedures by confronting violators
  • Update job knowledge by participating in educational opportunities; reading professional publications; maintain personal networks; participate in professional organizations; Accomplish organizational goals by exploring new opportunities to add value to property’s value
  • Attend trainings, and mandatory sessions
  • Attend scheduled corporate management and regional meetings, usually held on a quarterly basis at the regional office
  • Maintain records on all aspects of management activity on a daily, weekly, and monthly basis; Submit required reports to corporate offices on a weekly and monthly basis.
Leasing and Residents Relations
  • Responsible for maintaining a professional appearance and attitude at all times
  • Maintain a positive customer service attitude
  • Conduct periodic inspections with residents that move-in/move-out
  • Review all notices to vacate to determine the cause of the move-outs; Prepare legal action for eviction when necessary
  • Initiate and implement policies/procedures to maintain resident communications; i.e., complaints, service requests, etc
  • Communicate with residents through monthly newsletters, monthly community activities, regular resident recognition, follows up on service requests (100% within three days of request) and continual promotion of resident services)
  • Ensure that lease files are complete and that completion of leases is being executed properly; Approve in writing all leases on the property
  • Oversees satisfactorily on maintenance and service by conduction reports on monthly Work Orders; ensure proper maintenance and inspect properties periodically
  • Oversee fitness of community facilities, including laundry, mail and fitness center
  • Oversee all lease renewals throughout the month
  • Oversee collection of delinquent rents
Maintenance
  • Maintain community appearance and ensure repairs are noted and completed on timely manner. This requires regular community inspections and tours
  • Assure quality and quantity of market ready apartments
  • Ensure that models and market ready apartments are walked daily and communicate any service related needs to maintenance
  • Create w/os, monitor weekly w/o status, coordinate maintenance schedule with Maintenance Supervisor; maintain building systems by contracting for maintenance services
  • Ensure that all service requests are recorded and communicated appropriately to maintenance
  • Physically walk and inspect community on a regular basis; check on vacant apartments
  • Update Yardi indicating vacancy status on a daily basis; coordinate with
maintenance and make-ready staff to ensure timely condition of apartments after move-out
  • Work closely with the Maintenance Supervisor to monitor and schedule all maintenance activities.
Marketing
  • Participate in outreach marketing activities on a regular basis to obtain prospective residents, conduct periodical market surveys
  • Advertise available properties using a variety of media and promoting materials available by Westland Real Estate Group’s Marketing Department; Responsible to communicate with Marketing Department as needed
  • Oversee CRM guest cards records, follow up with interested prospects on a daily basis
  • Conduct market surveys monthly and provide trend report information
  • Shop competition and be aware of neighborhood market conditions
  • Maintain awareness of market/industry conditions and trends via trade publications, professional organizations, etc.
Supervisory Responsibilities:
  • Hire, train, motivate, and supervise all on-site and maintenance staff in order to achieve operational goals of assigned community; this includes new employee orientation and training, ongoing formal and informal performance evaluation, review and approval of timecards using ADP or similar HE system
  • Create an atmosphere of cooperation, enthusiasm, service urgency, teamwork, customer satisfaction, and professionalism among staff members
  • Provide comprehensive feedback to non-performing employees; facilitate disciplinary procedures and documentations up to and including terminations of employment if necessary
  • Conduct ongoing training with office staff; e.g., leasing paperwork, workplace safety, and any other type of training that may be needed on a daily basis
  • Conduct timely meetings with all staff members, set weekly goals and provide with needed support to accomplish these goals
  • Conduct periodical interviews of team members, oversee their performance and provide written short term/long term goals
  • Initiate an efficient reporting / tracking system
  • Conduct periodical training sessions on professional operation
  • Report to Regional Manager on weekly basis
  • Create a positive and encouraging office environment.
Safety:
  • Report all liability and community incidents to the corporate office immediately
  • Ensure that all workers’ compensations claims are reported and proper paperwork is completed
  • Secure property by contracting with security patrol service; establish and enforce precautionary policies and procedures; respond to emergencies
  • Area Manager will complete any pertinent safety checklists with maintenance staff.
