The University Libraries empower intellectual exploration through building connections, collections, and community. As an active partner in the University’s academic programs, the libraries are a major contributor to WCU’s core mission of student success. The faculty members serve as both instructors of information literacy and stewards of library resources. The staff members support the operation of the libraries whether it be assisting patrons at help desks, making the various library resources ready for patron use, or providing access to library technology.
Reporting to the University Libraries Business & Operations Manager, the University Libraries Office Assistant serves as the primary point of contact for Library Administration; assists with requests related to library use, services, and special events and programs; provides administrative support to the University Libraries; and provides excellent customer service to students, faculty, staff, and other campus partners.
The ideal candidate will demonstrate customer service or student support experience; strong organizational, problem-solving, and collaboration skills; experience with process improvement; and the ability to communicate effectively across a diverse population.
Responsibilities include:
  • Serve as first point of contact for Library Administration for students, faculty, parents, and campus partners
  • Answer incoming calls
  • Maintain department email accounts and respond to routine inquiries
  • Provide information accurately and professionally
  • Maintain and update electronic calendars
  • Coordinate, review, and prepare materials for distribution 
  • Maintain Library Administration paper files and support transition to electronic storage in SharePoint
  • Assist in planning of Library events and programs including coordinating and submitting catering orders; organizing equipment and seating requests; space reservations; verifying delivery; and reconciling expenses
  • Coordinate with the Library Student Employee Supervisors to promote student success for Federal Work Study students
  • Serve as Assistant Building Administrator and liaison with facilities workers & managers for routine and special projects
  • Submit Facilities, Public Safety, and IS&T work orders
  • Manage keys, building swipe card access, and key codes
  • Serve as a member of the Library Spaces Engagement Committee and the Emergency Preparedness Team
  • Administer departmental purchasing card(s)
  • Distribute mail
  • Provides emergency backup support to the Help Desk
  • Order and maintain office supplies
  • Perform other duties as assigned
  • One year as a Clerical Assistant 2 (commonwealth title) or One year of moderately complex clerical experience or an equivalent combination of experience and training
  • Demonstrated proficiency in the use of Microsoft Office Suite including Outlook, Word, and Excel
Required Knowledge, Skills & Abilities:
  • Knowledge of the use and functionality of Microsoft Office Suite software
  • Knowledge of standard vocabulary and usage, spelling, grammar, and punctuation
  • Knowledge of standard office practices and procedures
  • Ability to use an alphanumeric keyboard
  • Ability to proofread information for conformance with prescribed standards
  • Ability to sort and file information
  • Ability to perform mathematical calculations
  • Ability to follow oral instructions
  • Ability to read and understand written materials
  • Ability to communicate effectively orally
  •  Ability to communicate effectively in writing
  •  Ability to establish and maintain effective working relationships
  • Experience in an administrative or receptionist role
  • Customer service experience
  • Excellent written communication skills
  • Experience creating, organizing, and maintaining electronic files including SharePoint / Teams
  • Experience with Handshake, Banner, OnBase, SAP, and other software systems used in higher education
