Description

West Cary Group is a full-service, digital marketing and technology agency based in Richmond, Virginia, which services numerous mid-sized local and Fortune 500 clients across a vast array of industries. Position Summary:

Provide clerical and administrative support to assist in maintaining the day-to-day aspects of the West Cary Group organization.

Role Qualifications:

  • Must be a team player with initiative and organizational skills
  • Must be able to work with a high degree of professionalism and discretion
  • Must be able to multitask in a fast-paced environment, while providing excellent customer service

Position Responsibilities:

  • Coordinates office activities and operations to secure efficiency and compliance with company policies
  • Assists with QuickBooks data entry, workflow tool management and reporting
  • Manage agendas, travel arrangements, appointments, etc. for senior leaders and management
  • Assists with onboarding new hires, training, and preparing desks and supplies.
  • Manage phone calls and correspondence (e-mail, letters, packages, etc.)
  • Submits timely reports and prepare presentations/proposals as assigned
  • Coordinates & facilitates onsite meetings and conference rooms, including technology
  • Updates and maintains time-tracking platform, including timesheet analysis and troubleshooting
  • Coordinates and maintains staff administrative records such as equipment, phones, and databases
  • Assists with event planning and implementation
  • Monitors and maintains office supplies
  • Performs maintenance walkthroughs of buildings and notates items that need attention
  • Ensures office equipment is properly maintained and serviced; IT troubleshooting
  • Fixed asset management, including tagging new equipment, issuing equipment to new hires and checking in returned equipment
  • Performs work-related errands as requested
  • Other duties as assigned

Requirements

Essential Skills and Experience

  • High school diploma; BS/BA in office administration or relevant field is preferred
  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Advanced knowledge of Outlook, Excel, Word, and PowerPoint (Mac environment)
  • Strong initiative and a team player
  • Possesses the ability to follow through on multiple projects and tasks
  • Detail oriented, professional, and adheres to confidentiality at all times
