Fiscal Management in Aging Department
A. Managing invoices and payments: Process invoices submitted via mail or email by properly labeling invoices, distributing them to caseworkers for their approval, and entering the approved invoices into bookkeeping and Accounts Payable to be paid to vendors. Be familiar with the filing system in order to file invoices appropriately and assist caseworkers in pulling their invoices from the files when necessary. Be familiar with agency credit card reconciliations and entering them into the agency ledger. Work with Accounts Payable to ensure that invoices are paid in a timely manner.
B. Veterans’ Program fiscal management: Process Veterans’ program clients’ payroll from a fiscal agency and other expenses such as medical equipment by properly posting the payrolls into the Veterans’ program spreadsheet. Enter the approved amounts into Accounts Payable to be paid to the fiscal agency—these expenses are reimbursable from VA (Veterans Affairs). Bill these expenses plus case management fees as our agency’s surplus to the VA via a software program. Create proper reports of expenditures and reimbursed amounts in the form of a spreadsheet reportable to the agency fiscal department and State agency.
C. Documentation and Audit: Produce, maintain and monitor necessary documentation of program activities, expenses and individual client records in order to represent the conduct of Aging programs, oversee its budget, and respond to auditors.
D. Monitor the contracted service providers’ billing compliance and implement necessary corrections.
E. Participate in occasional and periodic team meetings, community events and related training.
Work Schedule:
Part-time work schedule; 24 hours/week; Monday thru Thursday or other 4 days a week (typical)
Required Experience:
Minimum Education/Experience/License/Special Requirements:
High school diploma. Two years’ experience in office management with budget experience and supervisory experience. Knowledge of computer programs, including Microsoft Excel and data entry. Ability to multi-task with good organizational skills. Will need to acquire specific training on VA billing system
