Watchpoint Logistics is Hiring a Supervisor, A/R & A/P Near Burlingame, CA

Description

The AR & AP Supervisor helps lead the Revenue Management team for a freight forwarding and logistics company and acts as the initial escalation for any discrepancies. This role will play a critical part in ensuring accurate and timely auditing and processing of financial transactions within our transportation and logistics operations. This role entails auditing both costs from carriers and agents (vendors), as well as revenue, which are recorded in the billing section of shipments within the Watchpoint Transportation Management System (TMS). This role is responsible for training the overall team.

The starting pay for this position is expected to be $36.00 to $39.00 per hour. Exact compensation is based on skills, experience, education, and location.

A/R & A/P Supervisor Job Duties

  • Lead and supervise a team to ensure internal and external requests are fulfilled promptly.
  • Train the team in accordance with defined work instructions and develop key performance indicators (KPI’s) to manage the team and department.
  • Monitor, manage, and evaluate client billing discrepancies using key performance indicators (KPIs).
  • Guarantee timely client invoicing submissions utilizing the automated features of our Transportation Management System (TMS), Electronic Data Interchange (EDI), or third-party portals.
  • Develop and maintain strong relationships with clients and vendors to resolve billing and payment discrepancies.
  • Address intricate invoice inquiries and concerns raised by both internal and external vendors and clients.
  • Record and assess billing discrepancies and credit issues with vendors. 
  • Monitor, manage, and present vendor billing discrepancies using key performance indicators (KPIs).
  • Administer Accounts Payable invoices within our third-party freight auditing systems.
  • Utilize a process review to identify the appropriate course of action needed for resolution and educate all parties involved to prevent a recurrence.
  • Lead process improvements.
  • Compile and assess reports to monitor activities and pinpoint trends.
  • Other job duties as assigned.

  • Proficient use of computer systems and applications (e.g. MS Office, TMS) as trained/required.

  • Experience with contributing to performance reviews, identifying growth opportunities, and acknowledging outstanding performance.
  • Leads by example to promote a positive team culture, identifying situations requiring managerial support and collaborating with leadership to provide feedback.
  • Experience overseeing resource allocation to align with budgetary expectations.

Education and Experience

  • High school diploma and minimum 3 years of experience in transportation billing or equivalent combination of education and experience
  • Experience as a lead or supervisor is required

Physical Requirements

The usual and customary methods of performing the job's essential functions require the following physical demands: operating a computer, remaining stationary for most of the shift, and occasionally moving about the workspace. The person in this position frequently exchanges information using email and other electronic communication methods and must be able to observe and report on communication received via phone and computer.
