Salary: $70,000 - $85,000 Annually

WHO:

Washington Emergency Care Physicians (WECP) is looking for an experienced Practice Manager to join our growing team! The Practice Manager is responsible for supporting the Washington Emergency Care Physicians (WECP) and business units (OECP, SECP, TECP, CTACS). The Practice Manager is responsible for providing a high level of administrative support, coordinating the administrative efforts and clinical operations associated with the practice/business unit(s).

Essential Duties and Responsibilities

  • Serves as a point of contact for all aspects of the business unit(s) ensuring accurate and timely customer service
  • Supports WECP leadership, committee chairs, medical directors, and the Business Unit President with a broad range of administrative activities, clinical operations, and support functions
  • Communicates with onboarding providers to provide credentialing and onboarding information and to ensure all questions are answered and all documents are received
  • Acts as a liaison between onboarding providers and the MultiCare Credentialing staff to ensure credentialing applications are completed and submitted on time
  • Responsible for the review of initial applications and re-appointment applications for all credentialing and privileging requests
  • Demonstrates knowledge and understanding of MultiCare credentialing software programs and the Point MultiCare platform
  • Maintains knowledge and understanding of credentialing accrediting and regulatory agencies (The Joint Commission, The Centers for Medicare and Medicaid, Department of Health, National Committee for Quality Assurance, State of Washington)
  • Demonstrates fundamental understanding of MultiCare bylaws, policies, and procedures
  • Create reports and presentations as needed in order to provide updates and information to leadership
  • Serve as the main point of contact for all vendors and help foster strong partnerships
  • Monitor the data from the RCM group to ensure charges and payments are on track with projections
  • Provide analysis on RCM data as needed for updates and presentations to leadership
  • Maintains open communication and follow through and/or follow-up communication with both internal and external stakeholders
  • Communicates vital information and updates to leadership as needed and escalates complex issues requiring additional problem solving or leadership support
  • Maintains confidentiality of the organization and credentialing matters at all times
  • Assist leadership and Business Unit President with complex scheduling and calendaring
  • Prepares meeting agendas and materials for various committee meetings, orders and delivers food and catering, prepares, and distributes meeting minutes
  • Coordinates visitors and travel as needed
  • Support company events, conferences and retreats, restaurant or catering reservations, holiday and social events as needed
  • Prepare for new hire events and/or orientations
  • Assists in obtaining and maintaining required annual trainings (such as stroke education, vaccination updates, etc.)
  • Assist Medical Staff and Business Unit President with reoccurring monthly and quarterly reports
  • Demonstrates knowledge of the various MultiCare and Business Unit software systems used to extract and review data. Demonstrates knowledge of Microsoft Office suite
  • Coordinate and participate in other short-term and long-term special projects as assigned and provide general support to WECP and business unit operations

Qualifications

  • High school diploma or GED required, Bachelor’s degree in business or management preferred
  • 5-years of high level administrative and project management experience supporting Medical Staff
  • Services or related experience in a hospital/healthcare setting is required
  • Previous experience working in revenue cycle management or managing the RCM cycle for clients
  • Demonstrates strong independent judgement and decision-making skills
  • Demonstrates strong time management skills, project management skills, and the ability to prioritize and follow through
  • Demonstrates strong organization skills and strong attention to detail
  • Demonstrates strong computer skills including Microsoft Office applications, proficiency with credentialing database applications is preferred
  • Strong proficiency in the English language including knowledge of structure and content, spelling of words, rules of composition, and grammar
  • Knowledge of electronic equipment (laptop, printer, desktop, fax, phone, etc.) and computer hardware and software, including applications and programing.
  • Self-starter and self-accountable, demonstrates service orientation by actively looking for ways to help people
  • Effective communication/interpersonal skills demonstrated during interaction with people of varying personalities, cultures, and professional disciplines
  • Ability to work efficiently and effectively with minimal supervision
  • Strong organization skills and the ability to prioritize and work simultaneously on multiple projects
  • Effective time management skills
  • Demonstrates professionalism and courtesy with stakeholders and team members
  • Demonstrates the ability to complete assignments in a timely manner
  • Minimal travel demands with the ability to drive to all Puget Sound clinical sites as well as other local venues
