Job Description

Art and Wellness Enterprises (AWE) is seeking a skilled, highly motivated, and entrepreneurial individual to join the team as a Finance Operations Manager and Treasurer. AWE supports operating non-profits founded by Alice Walton including the Alice L. Walton Foundation, Alice L. Walton School of Medicine, Art Bridges, Crystal Bridges Museum of American Art, the Momentary, and Whole Health Institute.

Position Summary

This role is responsible for managing the record keeping for multiple investment portfolios, cash & liquidity, developing policies & procedures, capital budgeting & fixed assets, preparing tax schedules and providing back up support for the Controller role. In addition, the accounts payable and receivable functions will report into this role.

Major Duties and Responsibilities (Essential Functions):

  • Investments:
    • Serve as a primary liaison with bank custodian, CFO, Walton Enterprises, and Investment Advisory Committee on all investment /endowment matters.
    • Meet with custodian/advisors on a periodic basis and stay up to speed on matters relevant to the endowment including economic environment.
    • Develop and maintain Investment Policy for all entities with endowments
    • In conjunction with the Executive Assistant, develop and maintain file retention systems for investment activity related to endowments and major gifts.
    • Utilize fund accounting to track and report on endowment and major gift activity.
    • Process approved transactions in the online custodian portal.
    • Record all investment transactions in accounting system
    • Perform monthly review of endowment activity and develop monthly reports
    • In conjunction with development department(s), develop individual endowment reports for major donors, as needed but no less than annually.
    • Oversee all aspects of the annual audit related to investment management including the collection of key audit materials.
  • Policies, Procedures, and Internal Controls:
    • Develop policies and procedures to support the many and varied financial functions across all entities and all departments
    • Ensure policies comply with Generally Accepted Accounting Policies (GAAP).
    • Develop educational materials and provide educational session on policies, procedures, best practices, etc. across all departments and all entities.
    • Develop and maintain all internal control memos for annual audit and ensure each entity is in compliance.
    • Serve as the primary manager of the policy development and deployment process.
    • Research, experiment, and deploy process improvement initiatives.
  • Cash Management:
    • Serve as primary liaison with banks ensuring that cash is deposited, transferred, and managed appropriately in order to maximize yield.
    • Develop and monitor cash flow reports projecting cash needs.
    • Manage liquidity across all operational accounts to ensure maximum cash yields.
    • Oversee all electronic payment systems ensuring compliance with internal controls and approval authority.
    • Serve as key advisory to A/P function regarding timing and deployment of vendor payments.
    • Support A/P functions and policies as it relates on to efficient and accurate electronic payments, wires, ACH, etc.
    • Oversee the bank reconciliation process.
  • Fixed Assets and Capital Budget:
    • Update and maintain a Fixed Asset policy for all entities in compliance with Generally Accepted Accounting Principles.
    • Process Fixed Asset transactions including addition and disposal of assets
    • Calculate and post monthly depreciation.
    • Conduct/verify annual physical asset inventory of office assets – test checking to ensure proper record keeping
    • Oversee the annual capital budget process and coordinate such activities with Controller and CFO.
    • Prepare monthly capital budget variance reports and advise management on budget opportunities.
  • Tax Accounting, Audit, and Reporting:
    • Assist WEI tax team with schedules supporting 990 preparations for all entities
    • Create and maintain financial schedules and projections for public charity test (CBMAA) and excise tax (ABI and IWH), keeping management and WEI apprised as needed.
    • Prepare audit schedules and assist Controller with audit report preparation as needed.
    • Treasury dashboard reporting.
  • Analysis and Special Projects:
    • Develop custom reports, analysis, ROIs, and proformas as needed
    • Oversee special projects as needed including system selections, system integrations, etc.
    • Oversee and maintain a time & billing system for ASC and partner organizations

Secondary Duties and Responsibilities:

  • Assist & Support Controller function
    • Cross train and support all general accounting functions as needed
  • Perform reconciliations to support the balance sheet.
  • Operations end-to-end process support.
  • General Other Duties
    • Due to access requirements for cash management functions this position may be called on 24/7 basis for support. Therefore, this position is eligible for participation in the mobile phone stipend program and should make themselves reasonably available during off hours.
    • Maintain an organized and accurate system of record retention.
    • Develop and maintain a professional working relationship with all stakeholders / customers.
    • Support and reinforce the mission, vision, values, and culture of each partner organization.
    • Other duties and special projects as assigned.

Basic Qualifications

Education & Training:

  • Bachelor’s degree in accounting or finance
  • Additional degree or coursework towards MBA, CPA or CFP designation preferred.
  • Working knowledge of generally accepted accounting principles
  • Proficiency in use of Word
  • Mastery in use of Excel
