Administrative Assistant – Office of the President

Title: Administrative Assistant

Department: Office of the President

Employment Status: Full Time

FLSA Status: Non-Exempt

Organizational Relationship: Reports to the Executive Assistant to the President/Office Manager.

Objective: The Office of the President is seeking an organized and personable Coordinator to provide front desk coverage, coordinate office operations under the guidance of the Executive Assistant to the President, and provide administrative support for the office. The Coordinator will be the face of the Office of the President, greeting visitors and callers warmly and professionally and helping to maintain a positive and professional office environment.

Duties/Responsibilities include, but are not limited to:

  • President's Office front desk coordination: Answer and direct incoming phone calls, greet and direct office visitors, manage incoming and outgoing mail and deliveries and maintain a highly coordinated and professional front office. Help maintain copy/supply rooms. Maintains the office's conference room calendar. Coordinate with appropriate service units to address maintenance or IT issues for the office.
  • Support for Executive Assistant in office operations: Under the direction of the Executive Assistant, manage office operations and workflow including directing or addressing inquiries to the President’s Office email inbox, preparing reports & budgets, managing expense reconciliation and reimbursements, and maintaining digital and physical office records. Provide "back-up" coverage for the Executive Assistant for presidential support.
  • Administrative support to Board of Trustees: Under the direction of the Executive Assistant, utilize OnBoard software to ensure the smooth execution of quarterly and special board meetings. Assist in developing agendas, maintaining consistent formatting for clarity and professionalism, creating and managing schedules for board members, and compiling comprehensive board books for printing and distribution. Help track attendance and coordinate logistics.
  • Event and meeting support: Support the execution of the President’s participation in meetings, special events, and fundraising engagements, coordinating materials production and distribution, facilities, technology, and other meeting logistics, and ensuring appropriate follow-up. Preparing meeting materials, reports, and presentations, and providing support to special projects.
  • Perform other related duties as assigned by the Executive Assistant or the President.

Qualifications and Skills:

  • Education - High school diploma or equivalent, associate's or bachelor's degree preferred
  • Experience - 2 years of administrative experience, preferably in a higher education setting or in support of senior executive leaders
  • Skills
    • Strong working knowledge of the Google Suite (Google Calendar, Google Drive, and Google Docs, Slides, Sheets, and Forms)
    • Strong working knowledge of Microsoft Office products
    • Experience in any of the following programs is a plus: Raiser's Edge NXT, Slate, Asana, RingCentral, Calendly, OnBoard

Additional Information
In compliance with NYC’s Pay Transparency Act, the annual base salary range for this position is $40,000 - $45,000.
