The Opportunity

  • Coordinate staff meetings / events / conference calls as instructed by leadership. Responsibilities could include agenda preparation, presentations, staffing, meeting collateral, logistics, notes, action item follow-up as necessary, etc.
  • Supports Manager, CISR Strategic Initiatives in planning and tracking of CISR strategic initiatives (DEI, Community Engagement, Health Equity, Pipeline Development, etc.

from development through successful execution.

  • Prepares administrative reports and studies; and performs specialized research projects to advance CISR goals.
  • Support in the development of roadmaps on CISR strategy, goal, and objectives.
  • Project reporting status updates, action tracking, and reporting on project health.
  • Provide project management support and facilitation across CISR Strategy in support of departmental and organizational goals.
  • Gathers data / analytics from key event stakeholders that then influence and inform future event decisions. Submit, and present project results and status reports to CISR Leadership and DEI Executive Council, upon request.
  • Track suggestions on initiatives to take within the organization to CISR strategies.
  • Supports CISR Community Engagement Program Manager with volunteer recruitment, communication, site coordination, disaster relief coordination, and recognition for Forward Together Initiatives.
  • Supports CISR Academic Outreach Program Manager in the coordination and correspondence with external community partners and academic institutions supporting the Bridge to Brilliance Initiatives.
  • Assists DEIB Program Manager with Podcast guest and Vituity Communities event coordination, as needed.
  • Partner with People Operations in developing metrics, dashboards and applicable reports that create transparency and accountability for CISR efforts.
  • Conduct research on key diversity, equity, and inclusion topics, programs, and initiatives to advance and support diversity, equity, and Inclusion at Vituity.
  • Work closely with Manager, CISR Strategic Initiatives in creation of CISR Annual Report.
  • Determines what metrics the Vituity Stakeholders wants to see, runs the data, and organizes and interprets the results.
  • Assess data reports, surveys and trends providing insights to advance the CISR strategy and drive impact through diversity data and research.
  • Provide data insights and recommendations to support CISR strategies and initiatives from post-event and education session surveys.
  • Communicate messages / inquiries / issues effectively, in a timely manner and professionally by showing sensitivity and respecting confidentiality.

This includes both written and verbal communications with internal and external clients.

  • Answer and screen phone calls in a professional manner; take messages and handle inquiries as appropriate.
  • Complete a broad variety of administrative tasks in support of the assigned department including managing an active calendar of appointments;
  • completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas;

and compiling documents for travel-related meetings

  • Prepare professional reports and presentations as directed.
  • Work with department leaders to develop necessary materials (e.g., manual, training modules, curriculum, etc.) to support the program.

Evaluate impact of program in meeting the defined objectives of the program.

  • Manage daily administrative duties with an emphasis on enhancing efficient workflow.
  • Make travel arrangements on behalf of the leadership in accordance with policy.
  • Initiate all follow ups for specific leadership initiatives. Responsibilities could include contract expiration, meeting action items, evaluation feedback, surveys, required education and compliance, and other related work.
  • Prepare and edit correspondence, communications, presentations, and other documents file and retrieve documents and reference materials
  • Conduct research; assemble and analyze data to prepare reports and documents.
  • Resource Booth Management : In partnership with the Events team; manage logistics, planning, staffing, materials, and all coordination of the Community Impact and Social Responsibility resource booth (virtual and in person) at all Vituity events.
  • Prepare CISR communication updates for internal newsletters and Partnership updates.
  • May coordinate webinar / seminars / events related to Pathway to Medicine and Infinite Reach programs (planning, coordination with Program Managers and Manager, CISR Strategic Initiatives;

pre- and post-event follow-up logistics), and possibly attend webinars / seminars / meetings as directed to assist with registration and face-to-face contact with attendees.

  • Review operating practices and implement improvements where necessary.
  • Support a wide variety of special projects some of which may have organizational impact.

Required Experience and Competencies

  • Bachelor’s Degree required.
  • 3 years of experience involved in supporting and project managing initiatives and programs required.
  • 2 years of project management experience from concept to execution required.
  • Proven experience in leveraging workforce analytics to define and evaluate DEI and / or CISR strategies and practices required.
  • 2 years of administrative or office support, administrative analyst, or project or department coordination / support role required.
  • Ability to work independently with drive and initiative but also work well within a teamwork setting.
  • Detail oriented, organized, and flexible individual able to perform multiple tasks with varying priorities under conditions requiring speed and accuracy.
  • General knowledge of administrative procedures and standard business office practices.
  • Must have strong customer service with client interactions both verbally and written.
  • Strong analytical skills, creative conceptualization, collaborative management ability, and oral and written communication skills.
  • Demonstrated ability to handle detailed work accurately and quickly, work to deadlines on multiple projects, and to work as a team member in a collaborative and participatory manner, and to interact both in person and over the phone with a courteous and professional demeanor.
  • Ability to use office equipment and automated systems / applications / software at an acceptable level of proficiency.
  • Ability to establish and maintain effective working relationships as required by the duties of the position.
  • Required skills : Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
