Job Summary
· Maintain and operate the front office in accordance with the Association rules/objectives.
· Coordinate with The Board of Directors to develop a strategy for successful operations of the community.
· Responsible for the day-to-day financial related functions, to include the following: Payroll, Invoicing, Credit Card Reconciliations, Financial Audits, and Neighborhood Fund usage, while overseeing the Associations’ financial vendor.
· Maintains/updates community documents, policies, and procedures when need or requested.
· Responsible for Hiring Process and all New Hire Paperwork.
· Responsible for training/coaching/performance for Lifeguard staff.
· Maintain personnel records for each team member (job description, disciplinaries, comments) and keep updated as new information is received.
· Responsible to generate weekly resident suspension lists for amenities usage.
· Maintain Social Media posts/platforms.
· Create Email blasts for Community when requested.
· Responsible for updating- Calendar on Vista Lakes Website.
· Assist Residents and Front Desk with the following: HOA Payments/Ledger questions, General ARC/Violation issues, Reservations, Clubhouse rentals, Club ID’s, emails/incoming calls, process new resident accounts, and any other day to day customer service inquires.
· Responsible to post meeting agenda/minutes on Vista Lakes Website.
· Responsible for Processing Lien Foreclosure paperwork, removal of Residential Bankruptcy’s from suspension list, and working with Attorney for any legal documents needing to be signed/notarized.
· Responsible for Community Events to include the following: planning, creating event flyers, organizing staffing, and process payments.
· Create Monthly Community Calendars/Flyers for Neighborhood Mailboxes, Yard of the Quarter Signage, and Garage Sale Ads on Vista Lakes Website.
· Responsible for inventory and ordering all clubhouse and property supplies.
· Responsible for attending regular monthly team meetings.
· Responsible for gathering, planning, executing City/County Grant Packages.
· Responsible for creating and administering bi-annually Lifeguard continuing training.
· Responsible to stay relevant within new policies/procedures that can be incorporated in the community.
· Assist Community Manager in any other task requested.
· Collect information, provide guidance, and support for the Committee Chairs established by the Board and Neighborhood Representatives.
· Maintain CAM continuing education requirements.
· Serve as acting Community Manager when the Community Manager is out of the office.
· As a licensed CAM, ensure compliance with all applicable State Laws and Regulations.
Responsible to provide a monthly report to the Board on highlighting all accomplishments and major activities supporting ongoing projects.
