Position Summary

Our expanding agency needs a reliable, well-organized Accounting Specialist. This role will support the Director of Finance with day-to-day financial operations. Responsibilities will include maintaining daily vendor invoice tracking, maintain and complete files and records as needed, perform Accounts Payable and Accounts Receivable duties, and provide general support to the finance team. Strong organization skills and accuracy come easy for the right candidate in this role. A/P Responsibilities

• Ensure all vendor invoices have been received, reviewed, matched against accounting reports, and entered into the accounting software.

• Monitor invoice portals for new vendor invoices, sort, and log invoices daily.

• Review accounting reports to determine any missing invoices.

• Reach out to vendors to obtain missing invoices and process them accordingly.

• Troubleshoot, review, and resolve invoice and order discrepancies.

• Work with media team to resolve discrepancies between orders placed and vendor invoices.

• Manage and maintain AP aging, compile updated AP reports from the accounting software and Strata invoice reporting to track open and unentered invoices.

• Process Edenred (TPA) virtual credit cards and check payments within accounting software.

• Process and reconcile credit card payments monthly.

• Ensure vendor and customer invoices are filed correctly.

• Maintain good vendor relationships.

• Manage and maintain various accounting email alias inboxes.

• Complete credit applications.

A/R Responsibilities

• Review client billing for accuracy, working with media and account strategy teams to address billing discrepancies and media plan revisions.

• Generate and issue client invoices and AR aging statements.

• Maintain AR portfolio in good standing following up on aging AR invoices with professionalism while providing friendly top notch customer service to our clients.

• Receive and process incoming client check payments.

• Take on special assignments assigned by leadership, create initiatives, write, and maintain SOP’s, and continually contribute and implement ideas for process improvements within your position and department.

Reporting

• Assist in building financial reports and forecasts clear to make business decisions for the company.

• Review internal expense reports, GL account allocation and provide analysis on operational expenses.

Office Management

• Check and process mail daily.

• Answer and route office calls as needed.

• Organize and reorder office supplies if needed.

• Assist executives in other office related tasks.

Needed Skills and Qualifications

• Bachelor's degree in Accounting or related field.

• 2-4 years in accounting or related field.

• Strong understanding of General Ledger, AR and AP functions.

• Strong organizational, analytical, and recording skills

• Detail oriented

• Intense desire to ensure processes run smoother and work better.

• Satisfaction for completing detailed to-do lists without errors.

• Ability to effectively problem-solve independently and collaborate across departments to come up with solutions.

• Collaborate well across departments.

• Comfortable working individually and in a team environment.

• Proficiency in Microsoft Office suite especially, Excel.

• Experience with basic accounting principles.

• Knowledge of integrated accounting software is helpful but not required.

• Prior knowledge in Advantage software a plus.

• Prior knowledge in Strata software a plus.

Job Type: Full-time

Pay: $28.84 - $32.00 per hour

Expected hours: 40 per week
