Shipping Associate (30-35 Hours FT)

Virginia Distillery Company, a single malt whisky distillery located in Lovingston, Virginia, is seeking a full-time Shipping Associate.

This role is crucial in ensuring the accurate and timely shipment of products to customers and our internal team while also providing exceptional customer service support.

This position involves coordinating with various departments to fulfill orders, addressing customer inquiries, and maintaining high standards of quality and efficiency throughout the shipping process.

This position supports company-wide operations and will report to the Senior Brand Manager. It’s a very exciting time to join our fast-paced team, where you’ll have the opportunity to wear many hats, work within a passionate, close-knit group, and support our rapid national expansion.

We work hard to bring our category-defining American Single Malt Whisky to market. Our distilling operations started in November of 2015, and 2020 marked the first year we launched our own signature whisky brand, Courage & Conviction.

Key Responsibilities

• Commitment to company culture and ensuring Virginia Distillery Company is portrayed as a world-class brand.
• Responsible for fulling small-parcel shipments, including but not limited to :

o Direct-to-consumer (DTC) Customer Orders

o Corporate, Sales, Marketing, and Production department shipment requests.

o International trade packages

o Other inbound and outbound small parcel shipments as needed.

• Process and package small-parcel orders for shipment, ensuring accuracy and compliance with company standards.
• Utilize shipping software to generate shipping labels, track packages, and update order status.
• Inspect outgoing shipments for accuracy and completeness, resolving any discrepancies as needed.
• Communicate with carriers to schedule pickups and coordinate delivery logistics.
• Handle customer and internal team inquiries related to shipping status, tracking information, and delivery updates.
• Provide prompt and courteous customer and internal team assistance via phone or e-mail regarding order inquiries, product information, and general inquiries.
• Address customer concerns or complaints effectively, seeking resolution in a timely manner to ensure customer satisfaction.
• Maintain organized records of customer interactions, order details, and shipping documentation.
• Collaborate with internal teams to identify opportunities for process improvement and optimize shipping procedures.
• Maintain the Shipping Department supplies, cleanliness, 5S organizing initiatives, SOP’s and placing supply order approvals as needed.
• Work with the company’s controller to maintain accurate budgets by business unit and work with department heads to ensure no overages on shipping costs occur.
• Accurately and compliantly process shipment information, generating reports as needed on shipping costs and volumes.
• Be able to transport Virginia ABC Shipments to our local store for pick up and occasionally to a FedEx location (most other shipments are picked up onsite).
• Maintain a high standard of accuracy for Virginia ABC Inventory and Compliance processes.

Qualifications

• High school diploma or equivalent; additional education or training in shipping, logistics, or customer service is a plus.
• Strong customer service skills along with a professional and engaging demeanor
• Self-motivated and operates with a sense of urgency and willingness to learn.
• Must be dependable, reliable, and have a track record of on-time attendance and professionalism.
• Strong attention to detail and accuracy, with the ability to multitask in a fast-paced environment.
• Excellent communication skills, both verbal and written, with a customer-focused approach.
• Proficiency in using shipping software and computer systems for order processing and tracking.
• Ability to work collaboratively in a team environment and independently with minimal supervision.
• Problem-solving skills and a proactive attitude toward addressing customer needs and concerns.
• Familiarity with inventory management principles and shipping regulations.
• Must be at least 21 years of age, capable of lifting 40 lbs., and be able to walk and stand for extended periods of time.
• Driver’s License and a clean driving record

Desired Experience

• Four or more years of experience working in a professional business environment.
• An interest in whisky and the wine & spirits industry
• Working with our current data systems (Microsoft, FedEx online, Shopify)

Compensation

This position is non-exempt from minimum wage and overtime requirements under the Fair Labor Standards Act, accordingly this position will be eligible for overtime compensation for hours worked in excess of 40 hours per week.

• Pay : $19.00-$22.00 per hour
• Standard Hours : 30-35 hours weekly, offering a flexible schedule negotiable within the traditional work week of Monday through Friday 8am-5pm.
