Purpose: This position will provide administrative support to the Global Learning department in VCU’s Global Education Office to help ensure students and others receive exceptional customer service. This position will report to the Director of Global Learning.
Hours: This is an hourly position with some flexibility in hours during normal office operating times (Monday-Friday, 8:00 AM – 4:30 PM); position may work no more than 29 hours/week. Limited teleworking and occasional needs for evening/weekend work may be requested.
Core Responsibilities
Support the Global Learning department’s two teams with various administrative responsibilities including, but not limited to:
Global student engagement team:
Applying international student insurance attributes in Banner
Supporting the new student organization created in collaboration with Global Learning
Matching international and domestic students in the Global Buddies program and compiling of information on a bi-weekly basis about events on campus and in the community that buddies can attend
Assisting with the tracking of Peace Corps Prep certificate participants and other students engaged in campus- and community-, and virtual based global learning programs and activities
Education abroad team:
Processing of education abroad transcripts
Processing student referrals
Processing of conduct checks through the Office of Student Conduct & Academic Integrity
Supporting the management of the course maintenance system and overall course approval process
Enrolling international travelers in VCU’s insurance program through CISI and in the U.S. Department of State Smart Traveler Enrollment Program (STEP)
Compiling of information for Clery reporting purposes
Supporting accurate billing and academic registration of students
Collecting and disseminating appropriately program evaluation data
Assisting with financial aid processes including student budgets, processing consortium agreements, and managing student enrollment verification forms;
Both teams:
Providing front desk support to the Global Education Office on Fridays
Photographing student and faculty passport-style photos and managing the photo reservation system
Confirming student payments and recording in application system
Organize and maintain student resource library, supply closet,and office space;
Support the outreach, communications, and events of the Global Learning department including, but not limited to:
Auditing of the website for inactive links and outdated information
Assisting advisors with outreach efforts including creating materials and coordinating and participating in events and activities; assist with promotional efforts on social media; staff information tables, conduct classroom presentations, coordinate and facilitate student panel presentations, and more;
Coordinate student volunteers engaged in outreach events and activities for Global Learning;
Assist with Global Learning hosted/sponsored events and programming including pre-departure orientations, returnee workshops, study abroad fairs, and campus-, virtual- and community-based global learning events such as ELP tea times, Global Cafes, and others;
Creating and disseminating event information for all Global Learning populations including international and domestic students including developing promotional materials, managing digital events on RamsConnect (CampusGroups software), submitting events for campus-wide distribution to the VCU TelegRam, etc.

Provide excellent customer service and communication through answering phones, managing office voicemail, collecting mail for the team, managing correspondence through the office email accounts, and greeting and assisting visitors including providing basic advising support;
Provide support for use of TerraDottasoftware, a web-based software for website and enrollment management
Support students through advising, program support, and otherservices including:
Providing general advising for study abroad participants
Processing student applications
Referring international students appropriately to GEO and campus resources
Assisting with inbound short-term programs for international students which could include activities such as:
Driving student groups to activities
Providing administrative support to staff and faculty managing the program
Accompanying participants to events, activities, and around campus, Richmond, and beyond
Special projects, as assigned
Requirements:
Previous administrative support experience;
Excellent customer service record;
Ability to operate successfully in a diverse, inclusive environment;
Strong organizational skills to successfully manage and prioritize multi-step processes simultaneously;
Exceptional communication skills;
Ability to work independently and collaboratively in cross-functional teams;
Detail-oriented;
Proficiency in Microsoft Word, PowerPoint, Excel, and Google Docs;
Interest in international education and/or higher education administration.
Preferred qualifications:
Previous study, living, volunteering, teaching, or working abroad experience;
Knowledge of a second language;
Previous experience with TerraDotta Software or other similar web-based office and application management systems;
Demonstrated ability to enhance office productivity and efficiency;
Advanced skills in Microsoft Office;
Design skills including familiarity with Canva;
Content creation experience on social media;
Ability to anticipate needs and proactively assemble appropriate resources.
