Duties and Responsibilities:

Essential Functions:

  • Enter, process and balance payroll on a weekly basis for non-exempt union and/or non-union employees by designated deadlines.
  • Collects, verifies and stores organizational payroll data.
  • Inputs changes, which may include changes to employees or employee statuses, exemptions or withholdings, or bank information.
  • Prepare additional payroll tasks including manual checks, adjustments, and off-cycle payrolls when necessary. 
  • Administers UNION employee health and welfare and retirements plans determining eligibility, status changes and terminations in accordance with company policies and collective bargaining agreements.
  • Reviews and reconciles carrier/third party invoices pertaining to the Union (Health & Wellness, Union dues, Drive, etc.) Submitting to accounting to ensure timely payments.
  • Resolves all discrepancies between payroll deductions and third-party billing and approves invoice for timely payment for accounting.
  • Advises site leadership on payroll policies and resolves payroll discrepancies directly with employees, supervision, an HR.
  • Works closely with Site HR to ensure proper compensation regarding leaves of absence and related benefits in accordance with company policy and FMLA regulations.
  • Maintains employee personnel files in accordance with company policy and government regulations. 
  • Keeps abreast of changes in state and federal regulations including FMLA, ERISA, and wage and hour laws and makes recommendations to Payroll Supervisor - regarding changes.
  • Prepares reports pertaining to payroll for distribution to managers and employees as requested.
  • Acts as the primary back up for other Payroll Administrator(s) and Payroll Supervisor functions including covering PTO within the department as necessary.

Marginal Functions: 

  • Supports and participates in employee engagement exercises across the company.
  • Assists in conducting regular audits of payroll date to ensure accuracy and compliance with company policies and regulations. 
  • Supports the Payroll Supervisor in resolving payroll discrepancies and addressing inquiries from employees, supervisors and HR.
  • Collaborates with HR and Finance departments to ensure accurate reporting of payroll expenses and liabilities. 
  • Participates in the implementation of process improvements and system enhancements to streamline payroll operations.
  • Provide backup support for processing other payroll functions, including exempt payrolls, as needed. 

Job Specifications: 

  • High School diploma or GED required; Prefer bachelor's degree in human resources/business administration, Accounting, other related degree or PHR certification.
  • Minimum of 4 years prior experience in payroll, preferably in a multi-side Union environment.
  • UKG experience, preferred.
  • Intermediated/Advanced computer skills using Microsoft Office, software applications and accurate typing skills (40 wpm minimum). Experience with PIVOT Tables and Vlookups, preferred.
  • Working knowledge of federal and state laws regulating payroll and benefits administration.
  • Exceptional interpersonal and communication skills, written and verbal.
  • Positive attitude and pleasant, professional demeanor.
  • Exhibits accuracy, attention to detail and ability to maintain absolute confidentiality in all aspects of human resources work.
  • Ability to prioritize, organize and handle multiple tasks in a fast-paced office environment.
  • Willingness to work a flexible schedule and travel to off-site locations as required.
