Job Description

Job Title: Project Coordinator
Reports To: Immediate Design Manager and Assigned Supervisor

Summary: Responsible for planning, initiating, and managing client assigned projects consisting of maintaining inventory or rollout projects and working with designers to plan production, shipping, and installation of shops. Acts as the liaison between the client and the store to set dates to ensure they meet the needs of all parties involved by performing the following duties.

Duties and Responsibilities include the following. Other duties may be assigned.

1. Creates and executes project work plans and revises as appropriate to meet changing needs and requirements.*

2. Sets and monitors deadlines, budget interactions with VDI team, clients, and vendors effectively and timely to complete projects.*

3. Identifies resources needed to assign individual responsibilities to execute projects.*

4. Applies the guidelines per each client and enforces project standards.*

5. Ensures project documents such as plans, sales orders, and purchase orders are complete, current, issued, and filed appropriately.*

6. Submits freight claims for any and all damages during shipping.*

7. Tracks and updates client inventory on a weekly basis.*

8. Tracks all project costs to ensure they are staying within the budget/quote.*

9. Ensures timely and accurate invoicing and monitors receivables for projects to ensure full payment to terms.*

10. Follows up with clients when terms are exceeded regarding unpaid invoices.*

11. Submits, verifies, and follows up on freight claims.*

12. Updates changes and relays to client as they happen using discretion with what is relayed to client, at times may need to discuss this with supervisor to insure it is in the best interest of the company.*

13. Sets payment terms with new clients at net 30 unless otherwise directed.*

14. Facilitates team and client meetings effectively while drafting meeting notes with specific details provided by client.*

15. Holds regular status meetings with clients and internal design team to ensure projects are running on schedule.*

16. Keeps project team well informed of changes with clients via email and outlook schedule.*

17. Communicates relevant project information to Shipping Department and warehouse manager.*

18. Resolves and/or escalates issues in a timely fashion where there are issues with installs or vendor deliveries.*

19. Acts in a professional manner at all times while dealing with clients and project teams.*

20. Develops lasting relationships with clients and personnel that foster client ties acknowledging that this usually requires travel.*

21. Communicates effectively with clients to identify needs and executes accordingly.*

22. Builds a knowledge base of each client's business, organization, and objectives.*

23. Backs up to designer per each client.*

24. Performs all other duties as requested and helps any department when necessary.

Supervisory Responsibilities:
Directly supervises one to two employees. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Qualifications:

Language Ability:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability:

*Essential Function

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:
To perform this job successfully, an individual should have knowledge of Microsoft Office, spreadsheet software, Mas 90, inventory software, and internet software.

Education/Experience:
Associate's degree (A. A. / A. S.) or equivalent from two-year college or technical school; and two to four years related experience and/or training; or equivalent combination of education and experience.

Valid driver's license
