Pay Grade: Entry: $13.31 entry

JOB SUMMARY
This position performs technical duties in support of the agency’s financial operations.
MAJOR DUTIES
  • Manages electronic billing for all Medicaid programs.
  • Manages individual funds; keys receipts; balances receipts; prepares and makes deposits; maintains records and prepares reports; posts invoices; processes the payment of bills; performs month-end bank reconciliations; provides account information to individuals.
  • Processes agency accounts payable.
  • Takes mail to the post office and receives mail and delivers to front office.
  • Prepares monthly billing for individuals served.
  • Answers telephone and greets visitors; provides information and assistance; takes messages; refers to appropriate personnel and serves as primary backup to the Administrative Assistant.
  • Contacts vendors, staff, individuals served, family members, legally authorized representatives, and the public to resolve issues related to financial matters and IT/equipment needs, as directed by the supervisor, in a timely and professional manner.
  • Places, picks up, and delivers food and supply orders to assist residential and day program staff in the delivery of services to individuals, as directed by the supervisor.
  • Cross-trains with Associate Executive Director of Administration to fill in as needed; serves as financial back up to the Associate Executive Director of Administration in his or her absence.
  • Assists the Director of Human Resources by updating the Agency Policy Handbook when changes are approved by the Board and keeps an adequate number of copies on hand and assists with activities required for participation in United Way fundraising.
  • Performs other duties and responsibilities deemed necessary; not otherwise specified.
KNOWLEDGE REQUIRED BY THE POSITION
  • Knowledge of customer service principles and practices.
  • Knowledge of generally accepted accounting principles (GAAP).
  • Knowledge of agency accounts payable and accounts receivable.
  • Knowledge of computers and job-related software programs. QuickBooks experience preferred.
  • Skill in problem solving.
  • Skill in prioritizing and planning.
  • Skill in maintaining accurate records.
  • Skill in interpersonal relations.
  • Skill in oral and written communication.
SUPERVISORY CONTROLS
The Associate Executive Director for Administration supervises and assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the results.
GUIDELINES
Guidelines include agency policy, GAAP, Alabama Department of Mental Health guidelines and Medicaid guidelines. These guidelines are generally clear and specific but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK
  • The work consists of related technical duties. The need for accuracy combined with strict deadlines contributes to the complexity of the position.
  • The purpose of this position is to provide technical support for the agency’s accounting operations. Successful performance ensures the accuracy and efficiency of those operations.

  • The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. Specific vision abilities required for this job include close vision, distant vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • The work is typically performed in an office.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY
None.
MINIMUM QUALIFICATIONS
  • Ability to read, write and perform mathematical calculations and a high school diploma or GED.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
  • Possession of a valid driver’s license and good driving record.
