Vargas Law Firm is Hiring a Front Desk Receptionist Near West Covina, CA

Vargas Law Firm is seeking a friendly, organized, and professional Front Desk Receptionist to join our team. As the first point of contact for clients, you will play a crucial role in ensuring exceptional customer service and a smooth office operation. Your primary responsibilities will include greeting clients, handling phone calls, scheduling appointments, and assisting our legal team with administrative tasks.

Primary Responsibilities:

  • Warmly greet and welcome clients, visitors, and guests as they arrive at the office.
  • Answer and manage incoming phone calls, directing inquiries to the appropriate team members and taking accurate messages when necessary.
  • Schedule client appointments, consultations, and meetings, efficiently managing the appointment calendar to ensure optimal time utilization.
  • Assist clients in completing necessary paperwork and intake forms, ensuring accuracy and adherence to confidentiality guidelines.
  • Keep the reception area tidy and organized, maintaining a professional and welcoming atmosphere for clients and staff.
  • Process incoming and outgoing email, mail, faxes, and deliveries promptly and accurately.
  • Collaborate with legal assistants and attorneys to support various administrative tasks, including document preparation, filing, and record-keeping.

Job Qualifications:

  • Must be fluent in Spanish (Read, Write Speak).
  • Must be available Monday-Friday 8:00AM-4:30PM
  • Previous experience as a receptionist or in customer-facing roles is highly desirable.
  • Excellent communication skills, both verbal and written, with a professional and friendly demeanor.
  • Strong organizational and time management abilities, with the capacity to handle multiple tasks simultaneously.
  • Proficiency in using office equipment, including phones, printers, and computer systems.
  • Computer skills and experience with Google Workspace (Gmail, Sheets, Calendar, Drive), Microsoft Office Suite and other relevant software.
  • Ability to work independently and as part of a team, displaying a proactive and positive attitude.
  • Strong attention to detail, accuracy, and commitment to maintaining confidentiality.
  • Familiarity with immigration processes and procedures is beneficial but not required.

Job Type: Full-time

Pay: $17.00 - $19.00 per hour
