As a growing company with a collaborative and dynamic work environment, Vanwin Coatings is seeking a highly skilled individual to fill the role of Director of Administration and Finance. A successful candidate will excel in these essential areas:

Payroll / HR

  • Support employee engagement initiatives by executing activities including, but not limited to, recognition programs, professional development opportunities, and feedback analysis.
  • Support recruitment activities as needed.
  • Payroll management.
  • Assist with annual performance review and merit increase process.
  • Attends and participates in employee disciplinary meetings, terminations, and investigations.
  • Handles employment-related inquiries from applicants, employees, and supervisors, and refers complex and/or sensitive matters to the appropriate staff.
  • Liaise with IT and facilities to maintain a properly functioning work environment.
  • Provide administrative support, including patent management and business operations management.
  • Provide supervision and guidance to admin team (2-3).
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Proficient understanding of compliance related to federal, state, and local employment laws and regulations.

Accounting / Payables & Receivables

  • At least 5 years of accounting experience
  • Proficiency in Quickbooks Enterprise, Sage, or Similar
  • Manage all payables and receivables in coordination with clerical office staff.
  • Strong and professional reporting, multi-tasking, problem solving, interpersonal and communication skills.
  • Ability to exercise sound judgment and work independently yet within deadlines.
  • High levels of integrity, work ethic and dependability.
  • Review books monthly for closing by reviewing the Job Cost and General Ledgers and reviewing the Financial Statements.
  • Prepare and present project reports and cash flows at a monthly, quarterly or bi-annual budget meeting.
  • Ensure Project Teams are complying with proper Contract Management processes and approvals for Commitments, COIs, and Budget Changes.
  • Collaborate with Purchasing Dept on all vendor invoices and payments.
  • Assist Controller with special projects.
  • Comply with all company policies and procedures.

Contract Management

  • Oversee the complete lifecycle of government contract management, from preparation and negotiation to execution and closure.
  • Ensure absolute compliance with all relevant government regulations.
  • Actively work with company President in crafting negotiation strategies, evaluation of contract necessities, and achieving congruence with finalized agreements.
  • Rooted participation in drafting and finalizing contracts, vendor agreements, and subcontracts, guaranteeing the highest level of compliance and efficient execution.
  • Contribute to the comprehensive contract pricing strategy and ensure its consistent application across all contracts.
  • Deliver top-tier customer service by foreseeing and mitigating issues and meeting all stakeholder needs.

Education and Requirements

  • Bachelor’s degree or equivalent experience
  • 7 years of experience
  • Comprehensive understanding of employee contracts and applicable local, state, and federal employment law
  • Experience in System for Awards Management (SAM)
  • Exceptional interpersonal communication and relationship-building skills
  • Strong computer skills and proficiency in Microsoft word and excel.
  • SHRM-CP preferred but not required.

  • Clean Background that would enable military base access.
