Marketing Event Specialist
SUMMARY
Our marketing department produces quality work for internal and external customers in several aspects of a multifaceted organization. The purpose of this position is to work in conjunction with the Marketing Team to build, develop and contribute to trade shows and other events that allow Valley Forge Account Managers to promote products, engage with clients, and inspire confidence in the Valley Forge brand.
This includes communicating brand strategy to internal and external stakeholders, preparing & managing timelines, coordinating technical aspects, managing event staff, preparing expenditure reports, and managing risk.
This position will build and maintain relationships with internal and external customers and create raving fans while executing work that reflects the brand and message of the organization.
DUTIES AND RESPONSIBILITIES
Core duties and responsibilities include the following. Other duties may be assigned.
- Works in conjunction with Marketing Team and Sales Team to ensure all Tradeshow, Internal VFF events, Hosted Client and Employee programs, Conference, & Sponsorship coordination, implementation, and execution generates awareness of the Valley Forge brand and its products with the outcome of boosting sales
- Coordinate and manage multiple events, often concurrent with each other, develop event specifications including timelines and resource needs, develop and adhere to all deadlines and budgets
- Liaise with vendors, exhibitors, and both internal and external stakeholders during the event planning process to ensure everything is in order
- Ensures all projects are delivered on-time, within scope, and within budget
- Responsible for creating and maintaining detailed project planning and documentation to monitor, track progress and ensure customer expectations are met
- Manages changes to the project scope, project schedule, and project cost using appropriate techniques
- Overnight / Weekend Travel required 2/3 times a year for major events & tradeshows
- Meet budgetary objectives and adjust project constraints based on financial analysis
- Manage booth/room/location selection, contracts, and coordination of registration, graphics, email blasts, signage, shipping, onsite booth set-up, logistics, and other needs for each event (internal and external)
- Demonstrated ability to interact with all levels of management, including coordinating with Account Managers (Sales) and Brand Manager for pre, during, and post-event planning, promotions, and communications
- Manage all event set-up, tear down, and follow-up processes including coordinating all logistics, shipping of all items, and turning around materials for future events
- Assess an event’s overall success via retrospective meetings and submit findings
- Submit expenses for events and programs through defined VFF processes

QUALIFICATIONS

- Associate degree (AA) or equivalent from a two-year college or technical school
- 2-3 years of experience managing tradeshows and/or event planning
- Strong written, verbal, and interpersonal communication skills. The ideal person for this role is self-motivated, positive, and friendly
- Ability to organize and recall many details, and complete projects using excellent planning, time management, and organization skills
- Ability to work effectively within a team and independently
- High level of proficiency with internet applications and Microsoft office (knowledge of Project Management or CRM software is a plus)
- Utilize project management tools to create and track tasks, owners, and due dates associated with the project
- Strong ability to work multiple initiatives at once, prioritize and validate dates, and meet critical deadlines.
- Demonstrates a natural ability to identify a problem before they happen and to come up with a creative solution when an issue does occur; must have a deep appreciation for simple solutions to complex problems
