Job SummaryThe Specialist-Administrative reports directly to the Director of Resort Operations. This position provides administrative support to the leadership team and multiple departments in Resort Operations. The Specialist-Administrative position works closely with other departments at the resort and with corporate partners in procurement, AP, finance, and other areas.
In addition to performing the job duties, the ideal candidate will be well aligned with our company values and mission.
Job Specifications
  • Outlet: Stowe Mountain Resort
  • Expected Pay Range: $22.00 - $33.12 / hour
  • Shift & Schedule Availability: Year-Round / Full-Time (weekends and holidays as scheduled)
Job Responsibilities
  • Provide administrative assistance to Resort Operations departments including Building Maintenance, Parking, Grounds, Janitorial, Warehouse, Uniforms.
  • Payroll/Time and Labor – use enterprise systems to accurately record, monitor, report and allocate labor hours and wages as required.
  • Procurement – use enterprise systems to purchase and receive goods. Process and prepare invoices to support AP/AR functions. Reconcile month end finances.
  • Assist in preparation of annual operating budgets and perform regular analysis of capital and operational budget performance.
  • Monitor, track and record data to support accurate and timely reporting of utilities, waste and various other metrics.
  • Assist in administration of Work Order Management system to track work requests, work details and associated labor and materials required to complete tasks.
  • Assist with the on-boarding and off-boarding of year-round and seasonal staff.
  • Maintain confidentiality regarding sensitive employee and business data
  • Manage leases, lease payments, HOA contracts and payment schedules.
  • Assist with recurring operational permit payments and other permitting coordination.
  • Other duties as assigned
Job Requirements
  • Work Experience: 3 years’ experience in Business Administration, Payroll and AP is required.
  • Excellent written and verbal communication skills, and strong interpersonal skills.
  • Proficient with computer operation including MS Office suite of programs for data analysis, and enterprise systems including Planful, PeopleSoft, Coupa, etc.
  • Highly organized and motivated for personal and team success.
  • Ability to work a flexible schedule occasionally
The expected pay range is $22.00 - $33.12. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
