UW Candidate Experience is Hiring an Office Associate, Senior - School of Energy Resources Directors Office Near Laramie, WY

JOB TITLE: 

OFFICE ASSOCIATE, SENIOR 

JOB PURPOSE:

Perform complex administrative/management support tasks with discretionary authority; independently make decisions that substantially impact operations within and outside designated unit/program; administratively supervise comprehensive office operations and support staff for department/unit.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Perform basic reception duties: answer telephone, take and transfer messages; screen individuals and calls; refer to appropriate source and/or schedule appointments; answer standard questions, those requiring significant interpretation are referred, as directed, to the appropriate source.
  • Perform basic records maintenance: perform routine record keeping; compile, search, number and purge information and document according to established rules and procedures.
  • Use computers for various applications, such as database management or word processing. Perform typing or word processing; edit data for accuracy, make necessary corrections, and perform basic data entry and report review. 
  • Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions.
  • Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
  • Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports.
  • May sort mail, assist with bulk mailing projects; sort, deliver or pick up printed matter for distribution.
  • Perform basic math calculations (addition, subtraction, multiplication and division); initiate requisitions, vouchers, and purchase orders; ensure mathematical, accounting classification and coding accuracy; receive cash payments; make deposits.
  • Assist with scheduling meetings, room/equipment arrangements for conferences, seminars, workshops, luncheons, graduation ceremonies/receptions, or special events. This will require some travel (5-20% of time) and/or some night/weekend hours to assist at the events as well. 
  • Supervise support/student staff. Assist Academic Directors and temporary lecturers as needed. 
  • Create and maintain course schedules and student overrides in Banner.
  • Award scholarship awards at discretion of Academic Director in the Scholarship portal.
  • Attend meetings, at director's discretion, to gather information and bring back to SER. 
  • Arrange conference, meeting, or travel reservations for office personnel.
  • Oversee, manage, and maintain storage of academic and other resources.
  • Maintain contact and distribution lists.
  • Other duties as assigned. 
  • Serve as Department editor for OTR Catalog/course software. 
  • Edit SER Academic website as needed. 
  • Assist with syllabi checks/storage, assessment data collection, textbook adoptions and billing as necessary. 
  • Administer Teacher Evaluations. 
  • Oversee and execute weekly Academic Newsletters to students.

SUPPLEMENTAL FUNCTIONS:

  • Perform miscellaneous job-related duties as assigned.
  • Attend and participate in training and other professional development activity.
  • Participate in performance-related goal setting and achievement to meet personal and organizational goals and objectives.
  • Perform occasional task outside normal working hours for special events, set and clean up. 
  • May perform academic advising.

REMOTE WORK ELIGIBILITY: 

This position is eligible for remote work and/or a flexible work schedule.

MINIMUM QUALIFICATIONS:

Education: Associate’s degree or equivalent experience 

Experience: 1 year progressively responsible work-related experience

Required licensure, certification, registration or other requirements: Valid driver's license with a motor vehicle record (MVR) that is compliant with the University Vehicle Use Policy.

DESIRED QUALIFICATIONS:  

Education: Baccalaureate degree in any field

Experience: 1-3 years of administrative assistant experience

  • Demonstrated use of Banner, WyoScholarships, Acalog, Curriculog, Adobe Suite, Microsoft Office

Preferred licensure, certification, registration or other requirements: MOUS Certified in Excel, Word, PowerPoint, and Outlook
