Prepares memorandums, letters, announcements, job descriptions, reports, and policies and procedures for other departments using personal computer and word processing software; assists in ensuring the hospital files, Administrative Policies and Procedures manual, records, etc. are in compliance with JCAHO standards; Serves as recording secretary at various departmental meetings; types and prepares committee and staff minutes in final form; prepares and routes Personnel Action Forms; orders supplies, including special purchase orders for Administration; prepares and reconciles travel documents by preparing necessary paperwork, registrations, making reservations, confirmations, and reimbursements; maintains records, correspondence, contracts, and other records; maintains and updates all relevant manuals, i.e., policies and procedures, roster manuals; provides notary service for personnel, physicians and their office staff, and volunteers; serves as receptionist; screens, greets, announces, and routes visitors; receives, handles, and transfers phone calls and messages received in the department; receives, screens, and reviews incoming mail.
Schedules appointments and meetings, which may include travel arrangements; maintains the calendar for the Health System Senior Associate Chief Financial Officer by scheduling all meetings and appointments; communicates and uses appropriate customer relation skills with physicians, patients, families, healthcare team, and staff in person and via telephone; responds to overhead pages; receives patient complaints, investigates, and forwards information to appropriate personnel for action; maintains accurate and complete records; maintains office filing system; accepts and completes all duties positively and without conflict; cooperates, helps others, and improves the performance of Administration; completes all mandatory unit, educational, and hospital requirements; utilizes cost effective practices in performing all aspects of the job; adheres to current Infection Control and Safety Standards; adheres to hospital policies, including confidentiality; assists with the orientation of new employees; performs essential functions with a considerable amount of independence; utilizes proper body mechanics when moving equipment and or supplies as necessary to perform essential functions; reports broken or malfunctioning equipment; regular and prompt attendance; ability to work schedule as defined and overtime as required; related duties as required.
High school diploma or equivalent and five years of progressively responsible administrative and secretarial experience.
