ATR Sales Inc (a division of U.S. Tsubaki Power Transmission, LLC), located in Santa Ana, CA, has been manufacturing and providing ATRA-FLEX premium flexible couplings to the power transmission industry for more than 36 years.

The Office Administrator is responsible for maintaining office administrative services by organizing office operations and procedures, preparing payroll, performing bookkeeping tasks, and serving as a liaison for communications between the local facility and various corporate functions. 

Essential Duties and Responsibilities: The essential duties and responsibilities of this job are included but not limited to this job description – other tasks may be assigned and expected to be performed.

  • Perform basic accounting/bookkeeping responsibilities, including:
  • Sales reporting
  • Accounts payable processing and bill payment in QuickBooks
  • Accounts receivable tracking, invoice processing, and basic cash application in company order system and QuickBooks
  • Inventory cost calculations and reporting
  • Banking transactions, account reconciliation, communications, etc.
  • Reconciliation of monthly results (above) vs. targets
  • Assist with conversion to ERP system
  • Human Resources and payroll responsibilities (these functions are performed in collaboration with Wheeling HR/Payroll Department):
  • Monitors Kronos Time & Attendance system to ensure proper functionality. Reports any errors to HR in Wheeling.
  • Reviews electronic timesheets for accuracy and completeness. Follows up with managers as needed to correct errors prior to importing time to Payroll System. 
  • Utilizes Paylocity to process bi-weekly payroll.
  • Conducts employee benefit orientation and is knowledgeable on employee benefits to answer questions.
  • Coordinates recruitment efforts with Wheeling HR. 
  • Conducts employee onboarding. 
  • Reports Worker Compensation injuries to carrier.
  • Conducts HR training on a variety of topics.
  • Assists Wheeling HR in conducting employee investigation.
  • Administers policies and procedures. 
  • Coordinates and plans company events. 
  • May assist Wheeling HR with other aspects of HR as needed. 
  • Other tasks as assigned.
  • Support Corporate Accounting with:
  • Monthly close of Division books/Requests for information
  • Local, State, and International tax communications and filings
  • Business insurance claims processing
  • Support General Manager with other projects as assigned, such as:
  • Financial Presentations for staff and visitors
  • Arrangements and schedules for visitors
  • Other tasks as necessary
  • General Office maintenance tasks
  • Backup for reception, customer service, and other office functions
  • Other tasks/functions as assigned. 

Requirements

  • Associate’s or Bachelor’s degree in Business Management or equivalent experience preferred.
  • Three to five years’ experience in accounting.
  • HR experience a plus.
  • Must be able to foster and support a teamwork environment, placing a high emphasis on excellent customer service.
  • Acts positively upon constructive criticism and coaching.
  • Works collaboratively with HR/Payroll Staff at Corporate location in Wheeling, IL 
  • Able to multi-task and prioritize work based on deadlines.
  • Handles confidential information discreetly.
  • Highly detail oriented.
  • Conducts self professionally & ethically.
  • Remains calm under pressure. 
  • Able to create reports, business correspondence, and procedure manuals.
  • Works with mathematical concepts such as probability and statistical inference.
  • Applies concepts, such as ratios, variables, rates, and proportions to practical situations.
  • Applies principles of logical thinking to a wide range of intellectual and practical problems. Interprets nonverbal symbolism (formulas, graphs, etc.). 
  • Intermediate knowledge of Microsoft Office (Access, Excel, Word, Outlook) required.
  • Experience with MRP/ERP Systems is a plus.
  • Familiarity with accounting, inventory and internal control principles required.
