What you’ll do with “Our Training and Your Experience”

  • Responsible for administrative aspects of assigned projects from award through completion including; but not limited to, planning, scheduling, subcontractor and material procurement, installation, invoicing, and close-out.
  • Coordinate project requirements, related field tasks and activities with the Field Project Manager.
  • Maintains accurate and up to date records of job status, job changes, material flow and other control records necessary for processing of internal and external reports.
  • Enters data for new projects and change orders into the accounting system.
  • Provide project financial oversight; including but not limited to, forecasting revenue, monthly invoicing, cashflow, and budget vs cost reviews (WIP reviews).
  • Establish project milestones and analyze costs; Exposure to financial systems to review actual vs.
  • estimated job cost and to provide timely and accurate project cost reports; identify reasons for low job site productivity and determine impact on the project; adjusts or corrects project plan and/or project cost estimates as necessary to meet financial goals.
  • When required, coordinate with Design Team for project design requirements.
  • Coordinates the procurement of materials, supplies, and subcontractors necessary for timely and cost-effective completion of the project within budget.
  • Proactively communicate project schedules, project change proposals and related project activities on a regular basis with customer and seek to continuously improve customer satisfaction.
  • Work with Accounts receivable team to ensure timely payment from customer.
  • Act as “our customer’s best service provider” by providing timely updates on project, quickly addressing concerns, and by regularly seeking feedback on our performance.
  • Identify potential project risks and develop/implement strategies to minimize impact and control deviations from estimated costs and project deadlines.
  • Performs other duties and responsibilities as requested or required.

  • Solid Microsoft Outlook, Excel, and Word skills.
  • Solid organizational skills and the ability to handle multiple projects tasks simultaneously.
  • Excellent attention to detail.
  • Solid verbal, written and interpersonal communication skills.
  • Shows initiative – engages in proactive behavior and looks for opportunities.
  • Adaptable – responds effectively to changes in situation or information; ability to influence others and build consensus using strong written and verbal communication and presentation skills.
  • Developing financial analytical skills including cost control.
  • Basic ability to facilitate a collaborative working environment for customers and team members.

Requirements:

Education: High School/GED or equivalent experience

Preferred Experience: (but not required):

  • 1-3 years administrative support or office management or equivalent
  • 1-3 years maintaining and registering in industry state licensing programs
