TITLE: Development Specialist

DEPARTMENT: DEVELOPMENT

REPORTS TO: Director of Development

RESPONSIBLE TO: VICE-PRESIDENT

CLASSIFICATION: EXEMPT, FULL-TIME

SALARY: $50,096 to $63,710

SCOPE:

A key member of the Development Department, the Development Associate will deliver proactive, responsive support to the Director of Development, the Executive Director, and works closely with other colleagues across the organization to advance fundraising and strategic communication objectives. Manages key administrative functions related to donor relations, gift processing, database management, reporting, grants management, donor communications, and events management. Exercises discretion and judgement in providing high-level support to donors and in maintaining confidentiality regarding donor giving.

DUTIES AND RESPONSIBILITIES

Donor Relations: Responds to inquiries from members and donors, exercising judgement and discretion in providing exemplary customer service.

Gift Processing: Responsible for gift processing, including the data entry of monetary and non-monetary gifts, recording pledges, reviewing donor accounts for accuracy, and appropriate relationship recording. Works with internal staff to identify earmarked donations. Responsible for ensuring the timely preparation and mailing of donor acknowledgements, memorial/tribute letters, donor correspondence, thank you notes, and pledge statements. Maintains files and other documentation related to gift process acknowledgement.

Database Management: Maintains the accuracy and integrity of our donor database, including de-duplicating, by ensuring that all information is kept current and up to date. Troubleshoots database issues. Works closely with internal staff to support the ongoing reconciliation process between the departments. Uses the database to track and manage sponsorships, to track charitable sales, to administer corporate/foundation grant processes, and to track donor moves.

Reporting: Works with the Director of Development to produce revenue reports, gift reports, mailing lists, and donor lists. Assists in prospect research and wealth screening on existing and prospective donors to assist in building donor briefings on donor giving priorities and background.

Grants Management: Maintains files and documentation on application materials and reports. Assists in monitoring report deadlines and payment schedules.

Donor Communications: Assists in drafting and editing print and digital donor communications, including, but not limited to direct mail, website pages, donor acknowledgements, and e-blasts. Manages the distribution of e-communications and the mailing of print pieces, including direct mail. Works closely with the Director of Development and the Communications Manager to create digital and written materials for the League’s social media accounts.

Events and Campaigns Management: Assists in planning and managing the logistics of the League’s event series, third-party fundraising events, membership drives and members-only events.

Administrative Support: Demonstrates integrity and discretion in completing high-level tasks related to donor relations as directed by the Director of Development. Assists in departmental expense tracking. Assists in maintaining and creating SOPs for all processes outlined above.
