The Department of Mechanical Science and Engineering (MechSE) at Illinois is a large and comprehensive department, and our Mechanical Engineering (ME) and Theoretical and Applied Mechanics (TAM) graduate programs are among the top-ranked in the world.

MechSE is seeking a Program Coordinator in the Graduate Programs Office to oversee daily operations of the MechSE Graduate Program Office and staff. Managing the academic program policies and procedures; assigning teaching assistantships, assessing program progression toward degree completion, and managing funding support for PhD students. Provide guidance and expertise to faculty, staff, and students on academic program matters.

Duties & Responsibilities

Graduate Programs Operations
  • Evaluate all doctoral exam requests, confirm committee eligibility, ensure faculty have all materials for exam and submit all exam requests with the Graduate College.
  • Notify GPO Associate Head of all disciplinary matters, contacting the Office of Student Conflict and Resolution if necessary.
  • Assess all graduate student petitions and file the MechSE Department decision with the Graduate College. Coordinate review of those petitions that request Associate Head review and/or Graduate Program Committee approval.
  • Oversee tracking of degree progress and the student evaluation process. This includes Ph.D. students submitting academic plans confirming their expected timeline for degree completion. Communicate to involved parties if satisfactory progress is not being made.
  • Draft e-mail responses for the Associate Head of Graduate Programs concerning the multitude of situations that are brought to the office daily.
  • Responsible for all aspects of degree certification, including conducting degree audits for all prospective MS and Ph.D. graduates and certifying all candidates, MS, Ph.D, to the graduate college.
  • Advise students on MechSE/UIUC academic policies and procedures, including but not limited to, registration, course selection, delivery, and suitability for degree program.
  • Communicate with prospective students, current students, faculty/staff and stakeholders regarding policies and procedures as they pertain to the graduate program and Graduate College.
  • Serve on UIUC Graduate College Academic Advisory Group; evaluate policy for updates and/or changes and implement policy changes as necessary.
  • Evaluate and approve all CPT and OPT employment requests.
Graduate Program Office Administration
  • Review department needs for teaching and research assistants and determine eligibility.
  • Manage Teaching Assistant application process; review and evaluate applications and recommend to the Associate Head the awarding of TA appointments based on department need, faculty requests and available courses and funding.
  • Assess communication from faculty and course instructors relating to TA requests and teaching needs.
  • Supervise program office staff, approving leave requests, performing annual evaluations.
  • Serve as liaison between GPO and MechSE administration offices.
  • Collaborate with the Undergraduate Assoc. Head and the UG Office regarding assessment of teaching needs and delivery methods for courses. Responsible for coordinating applications and assessing applications for MechSE Teaching Fellowship appointments. Make referrals to the UG Assoc. Head after reviewing Teaching Fellow Applications.
  • Responsible for overseeing tracking of funding needs for all Ph.D. students. Per the Grainger Mandate, implemented in FA2020, all enrolled Ph.D. students are required to have a minimum funding of an appointment (either RA, TA, or GA) that provides at least a 25% waiver generating appointment.
  • Other duties as assigned to further the mission of the department.

Minimum Qualifications

Bachelor’s degree in engineering, education, science, or related field. Two years of experience providing students’ academic support in a higher education setting.

Preferred Qualifications

MS in engineering, education, science, or related field
A minimum of five years’ experience advising students
Experience with BANNER, Graduate Programs Records and Applications, Microsoft Office Suite

  • Ability to organize, prioritize and manage diverse activities.
  • Must be highly organized and work under multiple deadlines.
  • Strong interpersonal, written, and oral communication skills
  • Possess cultural awareness, sensitivity, and tact.
  • Ability to make independent judgements in answering questions, direct inquiries and complications that arise.
  • Attention to detail and accuracy in preparing and submitting information.
  • Maintain strict confidentiality.

Appointment Information

This is a 100% full-time Civil Service Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after August 20, 2023. Salary is commensurate with experience.
