Job Summary

Under the general supervision of the Associate Director of Budget and Resource Planning, Non-Sponsored Research Administration, performs a variety of tasks and supervision for the efficient operation of the Carl R. Woese Institute for Genomic Biology.

Duties & Responsibilities

  • Financial Management
    • Serve as primary advocate and advisor for business services operations for IGB faculty and staff. Resolve purchasing and reimbursement challenges.
    • Meet regularly with Associate Director of Budget and Resource Planning, to provide relevant financial reporting and strategic fiscal planning.
    • Serve as expert subject matter on self-supporting funds and act as liaison between IGB and relevant OBFS departments. Oversee all aspects of rate creation, review, initiation, completion, and reporting for IGB self-supporting funds. Advise during audit processes.
    • Track funding commitments made to and by IGB requesting commitment transfers and process outgoing commitment transfers as necessary.
    • Act as back-up to Accountant I position and Associate Director of Budget and Resource Planning.
  • Business Services Leadership
    • Supervise IGB Purchasing Group serving the business functions of IGB. Oversee, assist, and coordinate training unit staff with day-to-day business functions such as purchasing and reimbursements to faculty and staff.
    • Review and develop business processes and procedures for efficiency and effectiveness.
    • Work with IGB staff to implement process improvements. Provide training on systems.
    • Coordinate group searches and onboarding with IGB Human Resources group.
  • Communication
    • Coordinate business office communications with various IGB groups. Communicate business office website content, directory, newsletter content and new hire announcements.
  • Other
    • Performs other related duties as assigned in order to further the mission and goals of the IGB.

Additional Physical Demands

Work is performed in a shared office; the nature of work is sedentary. Much of the work is performed on the computer. Position involves delivering time critical paperwork to other campus offices (e.g. to Payroll Office, Academic Human Resources, Staff Human Resources, etc.).

Specialty Factors

Bachelor's degree in business administration, management, or a field related to the position. Five (5) years of professional business, financial, and/or managerial work experience. Demonstrated experience in financial reporting and budgeting.

Preferred Qualifications

Three (3) years of professional business, financial, and/or managerial work experience in a higher education setting. Service Activity advanced Certificate.

Knowledge, Skills and Abilities

  • Knowledge of the University financial and personnel policies and procedures as listed in the Campus Administrative Manual, the OBFS Policies and Procedures Manual, and Staff Policy and Rules. Knowledge of Banner finance module, as well as My-Ui-Financials, Banner Feeder File processes, EDDIE, and other UI EDW data retrieval tools. Understanding of the mission, goals, and policies of the various SSC departments.
  • Skilled with common computer applications, including spreadsheets, word processing, email, and calendars. Strong interpersonal and communication skills and the ability to explain and clarify ambiguous or complex policies and procedures.
  • Ability to work harmoniously with faculty, staff, and students from a wide variety of disciplines. Awareness of, and sensitivity to, cultural and linguistic differences. Commitment to diversity and inclusion.
  • Ability to manage and prioritize multiple demands on their time. Must be diplomatic, highly ethical and have strong integrity. Must work within both the spirit and the letter of University policies and procedures
  • Working knowledge of routine office practices and procedures, the ability to operate standard office equipment, the ability to maintain confidential files and records, the ability to make arithmetic calculations, and the ability to reconcile records. Skilled in oral and written communication.

Appointment Information

This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after after close date. Salary is commensurate with experience.
