Job Summary

Performs a variety of tasks under the general supervision of the Director, Budget and Resource Planning, SRA. Works as a member of the IGB Business Office to carry out responsibilities associated with the reporting and accounting functions of the Carl R. Woese Institute for Genomic Biology Business Office.

Duties & Responsibilities

  • Post Award Duties:
    • Reviews and reconciles EDDIE grant statements on a monthly basis, ensures that expenditures are allowable and coded properly, processes correcting journal vouchers when needed.
    • Reviews and approves travel expenses on grants, and provides an interpretation of travel policies when required.
    • Reviews and approves iBuy, PCard, and TEM transactions.
    • Prepares monthly grant financial statements for distribution to Principal Investigators from BA4.
    • Corresponds with account owners and maintainers regarding procedures, policies, and best business practices.
    • Reviews subcontract invoices, verifies information, ensures funds are available, obtains PI approval, and then processes invoice vouchers for payment.
    • Monitors grant budgets by originating and/or verifying adjustments and transfers.
    • Works with federal sponsors to reconcile expense reports and follows-up with sponsor on the cause of found discrepancies, and then takes appropriate action.
    • Responsible for the organization and maintenance of a filing system for the IGB Grants team. This will include the relocation of prior year's files and setting up of new files.
    • Reviews semi-annual certification reports from Post-Award, and prepares detailed expenditure reports for faculty review.
    • Prepares or assists in preparing reports for IGB staff, Post-Award, and external agencies as requested by departmental supervisor.
    • Attend training sessions to increase knowledge and/or skills related to assigned duties. Perform related duties as assigned.
  • Pre-Award Duties:
    • Reviews and interprets program announcements and presents the information to faculty explaining what is involved in the submission process of the grant application to the external funding agency.
    • Assists Principal Investigators and subcontracting institutions with the coordination of proposal submissions by clarifying roles and responsibilities for execution of submission process through UIUC SPA Pre Award, and also serves as a liaison between Principal Investigators, UIUC SPA Pre Award, external funding agencies and subcontracting institutions.
    • Provides standard interpretation of policies and procedures guiding the submission and initiation of proposal.
    • Assures Principal Investigators and subcontracting institutions are in compliance with the budget parameters laid out in the program announcement and federal policy.
    • Independently composes correspondence requiring knowledge of federal and state legislation relative to grant and contract opportunities.
    • Prepares status reports for Principal Investigators.
    • Responsible for uploading proposals and details into the MyProposals portal, and routing the entry to responsible individuals for approval.
    • Attends training sessions to increase knowledge and /or skills related to assigned duties.
    • Performs other related duties as assigned.

Additional Physical Demands

Physical Requirements: The work environment is professional. Most of the duties are completed at a desk working with a computer. At times, it is necessary to walk to various offices within the building and on campus to gather information before work may be processed. At times, the individual may carry files or move boxes of files to clean-up archived documentation.
Work Environment: Work is performed in a shared office space with individualized desk areas. This is a high-energy, fast-paced working environment where multi-taking and ability to handle change is key.

Minimum Qualifications

1. High school diploma or equivalent.
2. Any one or combination totaling two (2) years (24 months) from the categories below:
A. Course work in accounting, as measured by the following conversion table or its proportional equivalent:
9 semester hours equals two (2) years (24 months)
B. Course work in any discipline as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
Associate's Degree (60 semester hours) equals eighteen (18) months
90 semester hours equals two (2) years (24 months)
C. Work experience in bookkeeping, office support, or closely related experience.

Knowledge, Skills and Abilities

  • •Ability to apply extensive knowledge of bookkeeping practices and procedures •Ability to apply a thorough knowledge of accounting techniques. •Ability to compile complex financial records and prepare routine financial reports or statements •Ability to operate electronic and or other standard office equipment •Ability to work with database, spreadsheet, word processing, and electronic communication programs •Ability to work independently and exercise judgment. •Close cooperation and coordination with supervisor. •Effective written and verbal communication skills •Ability and willingness to be a team worker, and perform functions in a professional manner •Ability to multi-task and work in a constantly changing, fast-paced working environment •Demonstrated ability and willingness to learn new information and application systems, and utilize this new knowledge on an ongoing basis
  • DIFFICULTY: The position requires the ability to interpret and comply with University policies and procedures, as well as the procedures and regulations of funding agencies. Timely and accurate completion of tasks is essential. Position requires application of judgment and initiative in the performance of a variety of accounting duties.
  • PERSONAL RELATIONSHIPS: Works in a team environment with other business office staff with general supervision from the Assistant Director of Budget and Resource Planning, SRA. The position requires tactful and courteous interactions with external sponsors, external universities, researchers, students, staff, visitors and other campus units. The work performed by this position effects other functions of the IGB Business Office, researchers, staff, students, and other campus units.

Appointment Information

This is a 100% full-time Civil Service 3852 - Accounting Officer position, appointed on a 12-month basis. The expected start date is as soon as possible after the search closes. Salary is commensurate with experience.
