Job Summary
Performs accounting duties under the general supervision of the Associate Director of Business and Finance. Works as a member of the accounting team to carry out responsibilities associated with the reporting and accounting functions of the IFSI Business Office.
Duties & Responsibilities
  • Enter and process travel expenses in Chrome River, which includes:
    • Round-Trip Mileage
    • Lodging
    • T-Card Expenses
    • Business Meals and Foreign Travel
  • Business Office:
    • Assist the entire Business Office in processing JV’s, PZAREDS, identifying rogue CFOP’s, Filing, and Archiving.
    • Posts financial information to journals, registers and ledgers, manually or utilizing IFSI and University of Illinois databases and technology
    • Processing and Mailing Field Operations Manuals
    • Physical and electronic filing, which includes label creation.
  • Assist with preparing financial statements, e-mails and reports, including, but not limited to cash flow, cash receipts, journal vouchers and disbursements, sales transfers and accounts receivable utilizing IFSI and University of Illinois technologies.
  • Posts financial information, including P-card transactions to journals, registers and ledgers, manually or utilizing IFSI and University of Illinois databases and technology. (5%) Prepare deposits (cash receipts and Foundation donations) for the Institute in accordance with the rules and regulations of the University and University Foundation.
  • Provide back up support for the IFSI Business Office: • Using the University’s P-Card system: Match all Order Logs with corresponding invoices and receipts/reconcile all P-Card purchases against Banner to ensure Cfoapal accuracy/Add Banner Reference # (PCA) into unit’s shadow system for completion. • Grants: Run total expense reports/pull backup documents and save to PDF portfolio/prepare grant summary sheets/prepare GC8’s/Request Anticipation Accounts.
  • Prepare deposits (cash receipts and Foundation donations) for the Institute in accordance with the rules and regulations of the University and University Foundation.
  • Assist Human Resources Generalist with payroll reconciliation

Minimum Qualifications

  • Any one or combination totaling two (2) years (24 months) from the categories below:
    • course work in accounting, as measured by the following conversion table or its proportional equivalent:
      • 9 semester hours equals two (2) years (24 months)
    • course work in any discipline as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen (18) months
      • 90 semester hours equals two (2) years (24 months)
    • work experience in bookkeeping, office support, or closely related experience.


Preferred Qualifications

One year of University of Illinois experience utilizing systems such as BANNER, P-Card Web Solutions and Chrome River.

Appointment Information
This is a 100% full-time Civil Service 3852 - Accounting Officer position, appointed on a 12-month basis. The expected start date is as soon as possible after 11/7/2022. Salary is commensurate with experience.
