POSITION PURPOSE
The William E. Boeing Department of Aeronautics & Astronautics (A&A) within the College of Engineering has an outstanding opportunity for a Special Programs and Events Manager. The Department of Aeronautics and Astronautics offers the only aerospace degree program in the Pacific Northwest, a region whose aerospace industry has been a major contributor to the technological development, economic vitality and the security of the United States. Our faculty, students and alumni are at the nexus of new space, and are creating the future of automated aerospace manufacturing, novel aerospace materials, and autonomous aerospace systems.
A&A has an outstanding opportunity for special programs and events management. The special programs and events manager oversees the following special programs within the Department of Aeronautics and Astronautics;
  • Space grant student program administration and development
  • Master of Aerospace Engineering program Colloqium course management
  • Career and community support programming for both Space Grant students and A&A Students
  • A&A Affiliated RSO Programming including their onboarding, annual funding request process and ongoing programmatic support
    This role reports to the Deputy Director for the Washington Space Grant Consortium and also has departmental tasks overseen by the Director of Academic Services for A&A. They participate both as a team member for the Space Grant group within the Department as well as a member of the Academic Services Team for the Department.
    Washington Space Grant Consortium (WSGC) is an original member of NASA's thirty-year-old Space Grant program. WSGC's mission state-wide is to enhance higher education opportunities for students who aim to pursue careers in science, technology, engineering, and math (STEM). At the University of Washington, WSGC supports programs such as undergraduate scholarships, graduate fellowships, summer undergraduate research, and student involvement with CubeSats, high-altitude ballooning, and supersonic rocketry research. For nearly two decades, WSGC has demonstrated success in helping more than 90% of our students take their next steps into graduate work or careers in STEM. This position is key to that success through recruiting and mentoring students, coordinating and enhancing STEM opportunities for students (e.g., internships), and organizing career development opportunities for undergraduates.
    DUTIES AND RESPONSIBILITIES
    Space Grant Student Program Administration and Development – 50%
  • Provide regular supportive advising for space grant students focused on community support as a supplement to other advising resources on campus
  • Respond to general inquiries as part of the space grant group from students, faculty, and the public via phone, email, and other communications platforms.
  • Manage applications for scholarship, research, and related WSGC application processes including responding to applicant inquiries, managing application documents, and organizing and reviewing applications.
  • Coordinate student award process including scholarship disbursement, collecting student information needed to process stipend payments, maintaining student records needed for grant compliance
  • Coordinate events with students and stakeholders including a Summer Research Poster Session, Fall Scholar Reception, and New Scholar Orientation.
  • Collaborate with the academic partners of WSGC to create regional participation in NASA sponsored events.
  • Engage faculty, administrators, campus partners and professional associations to build responsiveness and promote NASA and STEM related opportunities for students and alumni.
  • In conjunction with Communications Coordinator, contribute to the development of materials and events that support student STEM career pathways including alumni engagement with current students.
  • Manage applications for scholarship, research, and related WSGC application processes including responding to applicant inquiries, managing application documents, and organizing and reviewing applications.
  • Participate in community, business outreach and K-12 outreach to grow knowledge of WSGC and NASA opportunities.
    Events, Outreach and Special Programs – 40%
  • Participate in community, business outreach and K-12 outreach to grow knowledge of WSGC and NASA opportunities.
  • Oversee and support advising programming for space grant students and A&A students
  • Facilitate regular career and professional development related workshops and events to support students in their path to NASA and STEM related careers. This includes the masters of arts in engineering degree program housed in A&A as well as any professional development certificates that are developed in the department.
  • Oversee selected A&A group visits
  • Coordinate events with Space Grant students and stakeholders including a Summer Research Poster Session, Fall Scholar Reception, and New Scholar Orientation.
  • Day to day oversight of RSO’s including oversight of registration and access process, providing onboarding, other ongoing trainings
  • Advisor for Space RSO
    Other A&A Department Student Services Tasks 10%
  • A&A Time Schedule Coordinator
  • A&A Quarterly Course Evaluation Coordinator
  • Participate as part of a team as CAAMS Access Coordinator for quarterly student access process
  • MAE colloquium support
  • In partnership with the undergrad and graduate program advisors, coordinate student scholarships and awards payments for the A&A department with the Office of Financial Aid and Student Fiscal Services
  • Other duties as assigned
    MINIMUM REQUIREMENTS
  • Bachelor’s Degree in STEM field or education or other applicable area.
  • 3 years Experience advising in STEM field, or a degree in STEM-related field.
    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

  • Proven ability to work successfully with faculty, students, and staff with varying ages and genders, and from diverse socio-economic, ethnic and cultural backgrounds.

  • Ability to identify areas for improvement, set priorities, and initiate solutions as a strong individual contributor and collaborative team member.
  • Demonstrated organizational skills including managing multiple tasks while ensuring attention to detail, accuracy, and quality results.
  • Knowledge of federal, state, and local laws, regulations, and policies related to student records and information systems, admissions, and registration.
  • Proficiency in standard office software including Microsoft Outlook, Word, PowerPoint, Excel, OneDrive, and various web applications like Google Drive.
  • Experience planning in-person or virtual events.
  • Project management experience

  • Master’s Degree in education or other applicable field.
